Getting rid of bothersome "Retrieving Data"

When I am on the road and using the phone modem to dial into the office server, I get this annoying "Retrieving Data: pop-up window which goes on and off constantly and, as a result, slows down my ability to check e-mail. I have been told that this is an automatic device to retrieve instant messages, a feature I do not have not want. Any ideas on how to get rid of this will be most appreciated
