help about outlook storage

hi i have problem with the storage amount on the server i am working on : its only 300 Mb and i am receiving more than 300 mb sure then i have to remove some of the mails to make it able to receive more mails so there is another way to transfer this incoming mails to another folder on the hard disk and not into another folder in the outlook ?? or even another program to save incoming msgs from out look to another place on the hard disk.??.

Is this an Exchange mailbox? You don't mention what type of account you
have.

If you are connecting to an Exchange server, then create a PST and move your
mail into it. However you should know that moving your mail to a PST means
it is no longer kept on the mail server so it's not going to be backed up.
The PST file is kept locally on your PC/laptop. If you log into a different
PC/laptop, the PST won't be there (unless perhaps you use roaming profiles,
but I'm not sure about that I've never used them). You would be responsible
for copying your PST to a location where it can be backed up (your home/user
directory for example) but this must be done while Outlook is closed.

Microsoft does not support using your PST from a network location and no one
recommends it. If there is the tiniest little hitch in network traffic, your
PST can and will corrupt. Outlook needs constant read/write access to your
PST in order for it to successfully function.

If you are not using an Exchange mailbox, please advise.

yes it's Exchange mailbox and how can i do that type exactly please

Close Outlook. Open your Control Panel (I don't know what O/S you're using
so can't give you exact instructions, but along the lines of Start >
Settings > Control Panel. Switch to classic view if you haven't already.

Click on the mail icon.

Click on the Add... button.

Scroll to Personal Folders and click OK. It will bring up the Create/Open
Personal Folders File window.
Give your PST a name, normally the default is outlook.PST which is fine.
Personally I like to use my name and a date (eg: korland 031210.pst which
tells me it's mine and the date I created the PST).
Click OK again to exit the MS Exchange Settings Properties.
Close the Control Panel. Open Outlook.
Enable your folder view if you haven't already.
At the bottom of your mailbox, under Tasks and above Public Folders, you
will see Personal Folders.
You can now start dragging and dropping your mail into Personal Folders and
organizing it. Once items are moved to the PST they will be removed from
your Exchange mailbox and your mailbox size will shrink.
Remember to regularly copy your PST file to your user/home directory, but
you can only do this when Outlook is closed.
