HELP! Consolidate Exchange and Personal Folders

B

BillT

Hello Everyone:

I just set up Outlook 2007 on a new computer and can;t get it to work like
I'd like it to. I have my personal and files and email going into a .pst
file, and I set up my exhange account a few days later and it created a .ost
file in the same folder. Now I have work email in one inbox and personal in
another. It's a real pain in the but, especially with my calendar because
Google sync will only sync my Default Calendar which somehow became my
Exchange .ost file. I just want one inbox and to have my exchange and
personal mail going into it. I know it's possible, as I had it set up that
way in my old computer.

Thanks a ton for the help,

Bill

You can define your delivery folder for your accounts by going to Tools->
Account Settings...
On the Data Files tab you can set your default message store.

If you are allowed to store personal mail on the Exchange server, I would
recommend to use that as the default.
If not, and you are also not allowed to take business emails from the
Exchange server, you'll have work with separate mailboxes.

I am more concerned about my calendar, although I do want all of my mail to
go to one delivery location. I know this is possible because the old machine
I used had Oulook 2003 and all mail went to one location and there were two
calendars, but the default calendar was my .pst calendar, not my .ost
calendar. So please help me to do the following:

1. All mail to my .pst box - currently when I go Account Setting -> E-mail
Tab -> Select Exchange Account .......... there is no change folder on my
Exchange Account, only on my Personal Account and I don;t want to put my
person email in my Exchange folder. I don;t think I can, but even if I could
I don;t want my person mail on my work server and I know it doesn't have to
work that way.

2. Change my default calendar to my .pst calendar because when I sync with
GoogeSyn it send all the calendar appointments to my exchange calendar, which
I assume must be my default calendar. I can even delete the work calendar if
need be, I don;t use it.

Please help folks, my life is pretty chaotic with the ability of my
assistant to change my calendar via google and emails being ignored because
I'm not looking at the right folder.

Thanks a ton,

Bill

On the Data Files tab, set the pst-file as the default message store.
Restart Outlook for changes to take effect.
Note that your mail will be taken of the Exchange server this way.
To easily move any calendar items from the Exchange server and place it in
your calendar in the pst-file, you can switch to the All Appointments view
via the View menu.

Hi There!

Thank you so much. Yes, the Data Files tab worked. I can;t believe I didn't
find that. I also renamed the .ost file to .old, but it just created another
anyway on restart. But it didn;' matter because somehow my .pst calendar
became my default calendar and it synced fine with google.

Thanks so much your a "Job life" saver!!

You're welcome! :)

The ost-file is a cache file of the Exchange account. You can get rid of it
when you disable Cached Exchange Mode, but you can then run into errors when
you start Outlook when not connected to the Internet or when the Exchange
server is not available.
