Hiding Alerts in Calendar View

I have a daily wake-up alarm, and also daily evening alarm to remind me to
take my medicine. Is there a way to hide those recurring alarms in my
calendar view? They completely fill up the month view.

In a very roundabout sort of way, yes. You haven't said whether you created
these "alarms" as part of a recurring daily calendar event or recurring
daily task, but I'll assume Calendar Event. Open the calendar event to
remind yourself what the date of the first, original occurrence was (do both
morning and evening events), then close it again.

1. First go to View/Categories/Edit Categories, and create a new category
called "Important", or something like that. You probably want to leave the
color as black, so that events which have no other category just continue to
appear as before as if they had None (no category) - you'll see below.

2. Then, go to the "All Events" custom view in the Calendar area. (I see
you're in Entourage 2004, where this view comes pre-defined. In X, you'd
have to create it.) Wait for the view to form itself.

3. Sort by Date or by Title, whichever is more convenient for finding the
original recurring events on the original day. In this view, the morning and
evening events will each appear only once, on the original date. Find them
and keep them in view.

4. Select any item in the list, and press command-A to select all.

5. Now, holding down the command (Apple) key, click once each on the morning
and the evening medicine reminder event. That will DE-SELECT each of those
two events, so they're now the only ones NOT selected in the list.

6. Now go to View/Categories/Assign Categories, which should bring up the
big Assign Categories window. Check the checkbox of the "Important" category
you made in step 1, but DO NOT CLICK THE "MAKE PRIMARY" BUTTON at the bottom
of the window. Click OK.

Now all the events except the two morning and evening medicine events will
have the "Important" category, but they will still bear the color of any
primary category you may have given previously. (If they had no other
category, then they will appear with the "Important" category's color.)

7. Now switch back to regular Calendar view.

8. In the top right corner of the calendar, switch the "Subject contains"
popup to "Category is", and then switch the second popup from All to
"Important".

All the medicine reminder event occurrences will disappear from view,
leaving all the other events in place, still showing their usual category
colors. Any event which used to have no category will show the "Important"
category which is why it's probably best to leave it black.

9. In future, you'll have to remember to add the Important category to every
event you make which shouldn't be hidden. If you choose "Important" first,
then choose another category afterwards, the second one you choose will
always be the Primary one. Or you can get used to choosing "Assign
Categories.." which is always at the top of Categories list (and always
available in View menu too), and choose all the categories there, selecting
the one you want to be primary and clicking Make Primary. If you ever
forget, you can always go back to the All Events view from time to time and
fix them all at once in the same way you did in steps 4-6. Of course there
are many opportunities for forgetting to assign Important category to every
event you make, so it's no a fool-proof method.

This would be _much_ easier if Entourage had a popup item "Category is not"
in the calendar. Then you'd be able just to give the two recurring events a
"Not Important" or "Medicine Reminder" category, and exclude them once and
for all, and never have to think about it again. I suggest you send a
feature request to Microsoft via the Help menu/Send Feedback. I'm going to
remember this whole palaver, and will make the same feature request when I
get the chance more directly. But the more people request it, the likelier
it will be accepted.

Paul,
Thanks - your workaround actually makes perfect sense, as does your even
better suggestion for a solution. I hope you have some contact with the MS
Mac team; that should be easy enough for them to fix!

This worked perfectly. Incidentally, once you have selected the alerts to
View (I created a category called "view"), you can deselect other recurring
items by simply clicking on the item in the Calendar view, then choosing to
"open the series". Then click on "View" to deselect that. Do no need to go
back to the original date.
