The unfortunate answer is you cant

The Microsoft Project Add-in for Outlook does not accept Administrative
Plans. Project Server uses Administrative plans for notifying Project
Managers of Non Working Time.

I have not seen any ... I had a quick look on the internet

It would be a very specific issue so I am not sure who would develop this ...

Hopefully someone else on here may be aware of an off the shelf development
for this....

Sorry, could not help more :(

Frederik:

This is a complex problem because of the ambiguity of "non working time" and
how it's handled in the system. Currently, there is no application available
to transfer non-working time to either an admin project or the resource
calendars from Outlook. In our opinion, the appropriate place for planned
non-working time is to put it in the resource calendar so that project
schedules are automatically adjusted by the system to account for the
resource absence. In the current version of Project Server, planned
non-working time is posted to an administrative project that creates an
overallocation for the resource, which requires the Project Manager to both
notice and correct the overallocation.

We've developed a solution that allows users to manage their away time from
a web page that can be displayed in Outlook or navigated to via a browser.
Our solution updates the resource calendars, has optional manager approval,
and allows users to review and report on their away time as well as
providing managers with reports for their resources. If you're interested in
this, contact our office.

For much better integration with Outlook than comes out of the box, or to
integrate with Notes, Renke Holert has developed a solution called
Allocatus, http://www.allocatus.com which provides a richer feature set,
more flexibility and reliability than the out-of-box solution.
