Hours mismatch

R

Raj

Hi All,

I've a task for which the resurce is
assigned and actual hours have been entered for the task. The same task is
published and we incurred the cost from accounts based on the actual work.
For eg:
Task Name: Assign Resource
Resouce: XXX
Start date: 03/13/2006
End Date: 04/14/2006
Task type: Fixed work
Actual hours entered for this task 132 Hrs and Actual Protected hours is 132
Hrs.
We had completed this task and incurred the cost from accounts for this hours.

But last week, Project manager updates the same task, Changed the
start date to 06/30/2006. It allows to change the date with a warning " Your
action may result in this project becoming out of sync with the actual hors
entered in the timesheet".
Here the Actual hours are moved from 03/13/2006 to the new date. When I
sync with Protected actuals and publish the project. The Work Hours and
Actual hours moved to new date(future dates). But even though I did the Sync
with Protected actuals, the Protected actual Hours for this task remains in
the same old date.

Whether is it allowed in Project server???

Please advise on the same....

Thanks.

Raj:

When using the Protected Actuals feature of Project, you're telling the
system that the actual work record, as posted by the resources through the
timesheet, is the absolute source of all actual work in the system. You have
two ways of changing actual work once it's recorded. You can either use the
adjust actual work feature, or you can use the approach you describe in your
post, where the PM makes the change in the project, but in order to do this,
you must turn off Managed time periods long enough to for the PM to
republish the changed tasks selecting to overwrite actual work in the
timesheets. The first option is the best considering you're tying back to
accounting.

Thanks Gary.

Is there any way to protect the actual work from changing once it is recorded?

Because now I have done the change using adjust actual feature?

I don't want to allow the user to change the recorded hours???

Is there any way. Please advise on the same.

Thanks in advance,
Raj

The typical way this is handled using managed time periods, is to close the
time period for posting after each update day.
