How do I attach notes to messages in Outlook?

J

Jason H.

I posted the following message in Google Groups and I was recommended by a
"Microsoft MVP" that OneNote might be my answer...but I'd probably be able to
find out for sure here. Here is what I posted:

"I have Outlook 2003 installed and I use MSN Desktop Search. What I want to
do is attach keywords or notes or something to messages that maybe come in
without a subject line so that, down the line, I can just search MSN Desktop
and pull up messages based on those notes/keywords. That shouldn't be too
much to ask for, should it? Attaching a note to an e-mail?

There is a 3rd party app that I tried called Bells and Whistles
(emailaddressmanager.com) which allows me to add notes to an e-mail but those
notes are not indexed by MSN Desktop so the app is very much useless to me
right now.

Anyone know of something out there that I'm missing. My livelihood depends
on it! (Okay, I'm very much exaggerating but I'd love to find something like
what I'm describing.)"

Does anyone know if OneNote can help me out? Hopefully my message made
sense and I look forward to hearing from someone...anyone! :)

Sure, you can send those messages to OneNote and store them there. You can
annotate them and search them at a future date (either by message content or
by annotations) if you want to.

But...if you do that you're effectively removing the message from Outlook.

Ben...thank you for your message.
Can I maybe "forward" them to OneNote as an alternative? And, if these
messages that I "move" to OneNote, are they searchable by MSN Desktop?

I don't mean to be weird or picky or anything...I've just become very
dependent on MSN Desktop Search and I feel that there are a lot of areas it
can help me out in...especially this area.

Thanks!

There is a powertoy available from MS' website which lets you send
Outlook items to OneNote (copy/paste also works). OneNote data is
indexed by default and is searchable by MSN Desktop.

Sorry, I didn't really phrase it right when I said you were "effectively
removing the message from Outlook." The messages will still be in Outlook,
but you won't be searching them there and none of your notes will be in
Outlook. MSN Search will find the OneNote copy of the message, which may be
perfectly sufficient for your needs.

If you wanted to search Outlook for the message too you could, but none of
your notes/annotations would appear there.

I'm not sure that's much clearer. :)

why not add categories or just type a new subject to the email? you can also
flag items and enter up to 356 characters in the flag to field. I'm not sure
if it's searchable by desktop search though.

Perhaps you can run through an example of what you are looking to do?
Reading the various messages, I think that we are trying to fit your
solution to one of two existing programs. Instead, we should be focusing
on what you are looking to do. And I don't think we properly understand
what you are trying to do.

After putting these notes and keywords, what are you doing with them?
Will you be calling them up as a history of your interactions with the
client? Are you trying to create a database of diary notes? Do you need
the emails linked with meetings and calendar events with the client?
What about your hand-written notes during that meeting?

A little more understanding may help in pointing out a correct solution.
