How do I correctly insert a file in Notes (Project 2000)?

I've got Project 2000 and am having difficulty inserting an object (file) in
a note. I use browse to find my file, click to Display as Icon, but no icon
appears and the file name doesn't appear. I go to the Change Icon screen, and
choose the appropriate Icon, and rename the file name, but back in Notes, no
icon appears. When one clicks on the space where the icon should be, the
whole file opens in Notes. Ideally, I browse, choose my file, the icon
appears as it should, with the appropriate file name, and when the user
clicks to open it, it should open in the application, not in the Note. What
am I doing wrong?

Hi Barb A.,

I don't have Project 2000 around to check, but I can say that the
display of icons in the Notes field has been a bit flakey in Project
2003 as well. From your description, it sounds as though you are doing
everything correctly.

As an alternative to an inserted object, have you considered using
hyperlinks to the file instead? A hyperlink will display in the
indicator column (easier to get to) and will launch the document in the
native program. The downside is that if you email the project file, the
hyperlinked file doesn't go with it, so you'd have to send the
hyperlinked file along.

Thanks Julie. I haven't used hyperlinks yet as I was hoping to send my
Project file to others with the inserted files in the Notes, but it doesn't
seem possible. I read elsewhere on this site about keeping hyperlinked files
in the same folder as the Project file; perhaps it will work to use
hyperlinks and send all together.

Really appreciate the quick reply!

I didn't actually try this with Project 2000 (don't have time), but I
did try it with Project 2003 and it works fine. I used a simple text
document as my object.

The first question I have to ask is, do you have update SR-1 installed
for Project 2000?

Something I noted when I tried it is that it took a few seconds for the
icon to appear in the Notes box. Maybe you didn't wait long enough.

If you do have SR-1 installed and you still don't see an icon after
waiting a reasonable amount of time, post back. If no one else can offer
a suggestion, when I get some time I can try it with Project 2000 and
see if there is a difference. But my guess is, it will still work fine
with Project 2000.

Hi John,

Just for a giggle, try embedding an Excel file or an Adobe file. I
could get it work before with Project 2003 running alongside Office XP,
but when I changed to a system with Office 2003, I can reproduce what
Barb reports although there is text which says "worksheet" or
"document". No icon.

Julie,
I've never tried to embed an object in the Notes and of course it works
fine for the simple test setup I used. It looks like you have more
experience with embedded objects so I'm glad you fielded this one. Your
response didn't show up on my newsreader until after I responded.

if my Project 2000 has had the SR-1 install?

I stumbled across the error in Project 2003 a bit ago from a post from
the newsgroup and remembered it. I too have been noticing some lags
with posts coming from the news server. Delayed reaction from Friday
the 13th I guess.

and then when you click it within the Note, it opens the file within the
Note. I've got Project 2000 with Office 2003 and Windows XP. Maybe the
problem's due to different versions of Project vs Office. Funny thing is
it's intermittant - a few files I inserted early on with my project loaded
with icons and open in their own application. Later tries don't work.

I'd like to look into John's suggestion regarding install of SR-1 and am
playing around with hyperlinking documents within the folder that I keep my
Project file.

Hi Barb,

To see what service release is installed, choose Help > About Microsoft
Project. The Service Release (SR) information will appear after the
release numbers.

First of all, you're welcome.

I had a chance to open Project 2000 for another reason and while I had
it open I tried inserting a simple .txt file as an object in the Notes
field. Like you, I did NOT get an icon. All I got was a title. Clicking
the title will open the file but without the icon it wouldn't be very
obvious to the user. I suspect it is some kind of glitch with Project
2000 since it worked fine with Project 2003.

By the way, my installation of Project 2000 is under Windows XP Home and
Office 2003, and I do have the SR-1 update installed for Project 2000.

The same problem also occours with Project 2007 and inserting a Office (word
or excel) file and changing the default icon, only the name of the file
appears as an object and not the icon, so it appears somthing that MS has
chosen not to fix from Project 2000.
So it appears not to be document version in relation to application version,
more like a bug in the application, using a hyperlink is a workaround,
however you can only have one hyperling, as opposed to multiple inserted
documents.
