How do I schedule simultaeous resources?

Is there a way to schedule a 12 hour session involving 3 resources in a
project plan? I try setting work, but then it extends the duration to
cover all three each puttting in 12 hours - but I need the 12 hours to
be the same 12 hours calendar time since they are supposed to be
sitting in a room to collaborate.

If I can't figure this out, I will just block those 12 hours out on the
resource calendar, but that would mean setting it to a specific date
time rather than Project telling me when it is best to do it....

Any ideas?

Hi PJ,

There are two aspects to your note.
What do you mean by " it extends the duration to
cover all three each puttting in 12 hours "?
If the duration is 12 hrs and they all work part time they all perform 12
hrs isn't it?

Now if your remark is that when either one has a different calendar, his
work is postponed which makes duration to extend after the original 12
hours, could you repeat the message loud and clear and ask all your friends
and relations to write to Microsoft?
I've been asking for this to be corrected for the past 3 or 4 years but to
no avail.

It is not possible in Project to keep resources on a task simultaneous if
either one has a different calendar.
Well, there is a (lengthy) workaround - so many of my clients have asked for
it that I've put it on my website (look for "MS Project:an article")

Hope this helps,

Hi PJ,

I think you have hit upon one of the most requested features in Project:
a way to create a task and Project schedule the task to require multiple
resources (with differing calendars) to work together. I'm afraid the
short answer is there is no automatic way in Project.

A workaround is to create a calendar (Tools > Change Working Time) which
only has the common working time for all resources. For example: if
Resource A only works Monday, Tuesday, and Wednesday; Resource B only
works Wednesday, Thursday, and Friday; and Resource C only works Monday,
Wednesday, and Friday the calendar would have only Wednesday as the sole
working day. Then assign the calendar to the task (double click the
task to show the Task Information dialog box and on the Advanced page
select the newly created calendar).

I also have a question about your example. Is the task 12 hours of work
for each of the 3 resources -- in other words a total of 36 hours of
work? Or do you intend each of the 3 resources to work together for 4
hours duration with a total amount of work on the task as 12 hours?

I hope this helps. Let us know how you get along.
