How to auto generate email thru sharepoint?

Victor

I have created an infopath form which recording a reporting incident. My
report has a status indicating the report's status as 'Initial' or 'Final'.
User can report an incident with the information they have on hand and then
put report Status as 'Initial' due to certain information like an
investigation report is not yet completed. They can submit the report first
in 'Initial's status to sharepoint library.

However, sometimes, user may forget that they still have unclosed report
pending to be finalized. I want to create an auto generate email to remind
the user after 7 days they have submitted the 'Initial' status report to the
sharepoint to open up the report again and complete the report and put a
'Final' status for the report.

Can sharepoint calculate the due date beginning from the submission date and
generate an email to the user who submitted the report if he didn't come and
close the report to 'Final' status?

Is this due date calculation function supposed to be done by sharepoint or
in infopath form itself? Please remember that the email will be generated
without anyone's trigger like clicking button... It is supposed to generate
email after 7 days of the submission date if the report status is still in
'Initial' status. . The Report Status' field will be published in the
sharepoint list.

Please, can anyone help me? I only left with this auto email generation to
complete my infopath form.

Your help is very greatly appreciated!

Thank you!

Hi Victor.

I am not sure if workflow can do this, I do not have a ton of experience but
i am guessing you are using SharePoint 03?

You can setup alerts but they just show activity and do not have the
notification peice you speak of.

I have seen this done but only with the Database Accelerator from
http://www.qdabra.com . It has a backend notifications service which runs on
the server and generates notifications if forms stay in the same status too
long, etc. It also have workflow and assignments for routing documents.

So I have seen what you describe but not with Sharepoint functionality.

Dear Clay,

Thank you for replying my question.

I am using Sharepoint 2. I also know the litmitation of Sharepoint 2's
alert function. It can only alert administrator or designated person that
forms or documents have been posted but not like my intention to check the
status of the report and based on the report status to fire an email to the
designated person.

I think Database Accelerator is able to what i want but i am not using
this service. Neither do i know how to use and can be used or not in my
company.

I have checked at the website that a software called "Sharepoint
Reminder" can function to fire email based on our own setting and can meet
what i want. This is a software that is created by a company for sales to
resolve this type of problem.

I will keep on looking for the solution.

Thanks for your help!

Victor
