How to create a customised Who oes What and When report (2007)?

Hi Everyone,

I hope you can help.
I am managing 30 projects and created a master project for them where I have
copied all the 30 projects. I would like to create weekly reports. In this
master project I want to see a report, which shows all my resourses (5
people) in a list, next to it the project they are working with their
subtasks and which day they are scheduled in to do these tasks and for how
long.
This would give me an idea to see who is working on what project and task
and when for how long, which would give me my resourses' availablility so I
can assign them to further tasks and they wouldnt crash with eah other.

I hope it make sence. I do appreciate any help and advice, I have been
trying all the custom reports and none of them were quite suitable and it
drives me mad ;-)

Hello

Are your 30 projects all using a shared resource pool or have you
created each of the 5 resources in each of the 30 project files?

When you note that you've "copied" all of the 30 projects did you
really copy and paste or did you make a master project either through
the Insert > Project command or by opening the pool?

If you look at the Resource Usage view how many times is each of the 5
resources listed?

The Who Does What When report is actually a report based upon the
Resource Usage view. I personally prefer to format the view showing
the additional information and print the view instead of trying to
modify the existing report.

I suggest modifying the left side (table) of the Resource Usage view
and add some additional information, then simply print that view.

To the Resource Usage view I'd add:

Project field -- this will show the name of each project where the
assignments for the resource is coming from.

Add the start and finish fields to show the resource's assignment
start date and finish date. You can show the day of the week (Monday,
Tuesday, etc) for the start and finish if you have a date format which
shows that information.

You might also consider adding the Remaining availability field to the
timescaled (right) portion of the view to show how many more hours per
day the resource has available.

Thank you very much for the promt reply and the suggestions.

As I have created each project individually I have also created those 5
resources individually, which means when I look at the Resource Usage view
these 5 resources coming up 30 times under each other. How can I amend to
have just one resource pool for all the 30 projects?

In the Master Project I have Inserted through Insert>Project. Is that ok or
should i have copied and pasted?

I will try to do what you have suggested about formating the view rather
than amending the existing report, but I need to first sort out my resource
pool I gues to show my resources only once?
Would this mean I would have to amend all the 30 project to create a
resource pool. Please help.

You're welcome for the assistance and thanks for the feedback.

Thanks for the additional information that you have added the 5
resources to each project file. I suggest creating a resource pool
file to hold the information on your 5 resources and then sharing the
pool file with your 30 projects. Luckily, it's not as hard as it
sounds.

Find the help topic "Create a resource pool for sharing resources
across projects" and follow the step by step instructions. The help
topic guides you through creating a new resource pool file using
resources from the individual project files.

Once you have created the pool file, you can then create a
consolidated project file containing all of the 30 files. You'll see
each of the 5 resources only listed once in the Resource Usage view
and you'll be able to easily see the assignments from the 30 projects
for each resources.

Several "rules" about using pool and sharer files however:
1) Do not rename or Save As any of the sharer files without ensuring
you disconnect it from the pool.
2) Do not copy or move any file connected to the pool.
3) Always make sure you have a good backup method in place.

Help does a pretty good job stepping through the process of working
with pools.

you're getting along.

I have done what you said by creating a resource pool and i have assigned it
to my projects individually, which went ok. Once I have done this with all
the seperate projects and inserted them in a new master projects again.
However I can still see all the resources one after the other 30 times. Where
am I going wrong? (I thought once they all have the same recources from the
same resource pool the master project would be only showing the 5 resources
once).
What am I missing? ;-) Sorry to be a pain.

Hello,

You're not being a pain at all :)

You should be creating the master project file by opening the resource
pool and selecting the 3rd option "Open resource pool read/write and
all other project files into a new master project...." No need to
insert the individual project files into a master -- the pool will
help you create it.

preview. and it comes up all the projects and thier tasks (basically the
whole master project). I am not sure I know by what you mean of updating the
printer ;-(

2. As all my projects have different budget-labour and cost values so when i

them all and just allocate from the resource pool to each project from

[Julie] Odd again :) I have three different budget resources and
each resource is assigned to several project summary tasks. When
viewing the Resource Usage view, I only see one of each resource with
the assignments for each underneath. Once you assign the budget
resources to the project summary tasks, you manually go in and enter
the Budget Work or Budget Cost for each budget resource. You don't
assign costs until after you've made the assignments. Help does a
pretty good job stepping through this. See the topic "Create a budget
for your project."

all other project files into a new master project...." No
need
to
insert the individual project files into a master -- the
pool
will
help you create it.

Thanks for the additional information that you have
added
the
5
resources to each project file. I suggest creating a
resource
pool
file to hold the information on your 5 resources and
then
sharing
the
pool file with your 30 projects. Luckily, it's not as
hard
as
it
sounds.

Find the help topic "Create a resource pool for sharing
resources
across projects" and follow the step by step
instructions.
The
help
topic guides you through creating a new resource pool
file
using
resources from the individual project files.

Once you have created the pool file, you can then
create a
consolidated project file containing all of the 30
files.
You'll
see
each of the 5 resources only listed once in the
Resource
Usage
view
and you'll be able to easily see the assignments from
the
30
projects
for each resources.

Several "rules" about using pool and sharer files
however:
1) Do not rename or Save As any of the sharer files
without
ensuring
you disconnect it from the pool.
2) Do not copy or move any file connected to the pool.
3) Always make sure you have a good backup method in
place.

Help does a pretty good job stepping through the
process
of
working
with pools.

I am still strugling with the report though. I double checked it again and
when I choose the date range the report on the right hand side shows the
selected date,which is what I need. However on the left it lists up all the
tasks from all 30 projects with dates going back to the very first time
ie:2006.
Is that possible to do to have only those projects and tasks and resources
on the left handside which are starting from the date that I have selected at
the first place (that shown on the right side)?

I'm also glad you clarified a bit more about your report. Now I
understand that you only want to see the resources and assignments
which are "active" in the date range of the report. If you have added
the start and finish fields to the left side (Usage table) of the
Resource Usage view, you can use Autofiltering to hide resources (and
assignments). In the Formatting Toolbar, click the autofilter button
and then select the start and finish dates you wish to see. You can
also set ranges by selecting the "custom" option from the filter
drop-down.

I hope this helps. Let us know how you get along.

each resource is assigned to several project summary tasks.
When
viewing the Resource Usage view, I only see one of each
resource
with
the assignments for each underneath. Once you assign the
budget
resources to the project summary tasks, you manually go in
and
enter
the Budget Work or Budget Cost for each budget resource. You
don't
assign costs until after you've made the assignments. Help
does
a
pretty good job stepping through this. See the topic "Create
a
budget
for your project."

I have a couple of questions.
1. When I look at the Resource Usage (as you have

etc. When I want to print I can select by date range

need,
however when I chose for example one week starting from

to
next
week and I go to preview, it still includes tasks from
2006,
2007,

basically the everything not the chosen week. Any idea?

[Julie] Hmmm. A quick test from a master project file
created
from a
pool works well for me. If I choose File > Print and set
the
date
range in the Print dialog box for a two week period in the
middle
of
the project, the preview shows just that two week period.
How
are
you
selecting the print range? Make sure your printer drivers
are
also
up
to date, Project is very picky about printer drivers.

2. As some our prohects have budgets in labour and some
has
costs, I
have
created a Budget-Labour and a Budget-Cost which I have
allocated
to
it's
relevant project and it shows how much we allocated for
each
project
in
labour or/and cost.
When I look at the master project I have 30 times the
Budget-Labour
and 30
times the Budget-cost. Is this correct or should have
been
only
one
of each
just as the resources?

[Julie] Did you define the Budget-Labour and Budget-Costs
in
the
resource pool and assign from there? Did you add the
resources
to
the
project summary tasks as the help screens note?
