How to delete Outlook 2003 Calendar items

Jack & Link

In WinXP PC we use Outlook 2003 SP2 Calendar with a HP iPAQ Pocket PC running
Microsoft Active Sync 3.8. The sync is set for Pocket PC to WinXP PC ONLY
(and is not set to sync both directions). What I want to do on the PC is
automatically delete Calendar items over 4 weeks old even though they would
remain in the Pocket PC until deletion there. On PC in Outlook Calendar I
have AutoArchive set to "Archive this folder...Clean out items older than 4
weeks...Permanently delete old items." I find there is no automatic
deletion. How do I automatically delete as above? When I do a manual
deletion on Calendar items in the PC Outlook Calendar all is well; once
deleted they are gone and do not resync. Maybe there is no way?

did you enable archiving on tools, options, other? Set it to run daily or
every few days.

Opps! bingo too fast. Settings in tools, options, other, auto-archive are
for run 7 days, prompt before, delete expired, archive or delete, show
archive folder, clean older that 4 weeks, permanent delete.

On boot 10/20/2005 would have expected an entry set by PocketPC/ActiveSync
3.8 for 09/18/2005 and visible in Office Outlook 2003 SP2 to disappear. It
did not.

Wonder if the non-recurring settings that are originated by ActiveSync 3.8
in Pocket PC cannot autpmatically be cleaned by code inOutlook 2003 SP2 on PC?

Again, when I manually delete those non-recuring settings originated by
ActiveSync 3.8 in Pocket PC and passed by sync to PC, they are gone forever.

Any ideas?

Check the modification date of the item. Outlook uses the more recent of
creation date and modification date for calendar items

While I never use automatic archiving, I do know that items I delete from
Outlook's Calendar or from the PocketPC's Calendar always go to the Deleted
Items folder in Outlook whether they were created originally with Outlook or
the PocketPC's Calendar. I just tried it to be sure.

Thanks. What do I do in Outlook and Pocket PC to check the creation date
and modification date?

In my application, the Deleted Items folder in Outlook serves no useful
purpose. Outlook is being used as a backup of sorts for the Calendar in the
PocketPC. For the PocketPC the calendar items are kept for many months; we
do not desire to do so with Outlook on the PC hence the permanent delete
choice.

I don't believe that info is availabel on the PocketPC, but you can display
either or both dates with the Field Chooser in Outlook.

What setting in the Outlook Field Chooser do you recommend?

Again, in our application, the Deleted Items folder in Outlook serves no
useful
purpose. Outlook is being used as a backup of sorts for the Calendar in the
PocketPC. The Pocket PC Calendar items are synced (downloaded) to the PC's
Outlook. It's one direction only; no sync (upload) is made from the PC's
Outlook to the Pocket PC.

The calendar items on the Pocket PC are kept for many months. We do not
desire to keep the Outlook calendar items for more than 4 weeks, hence the
permanent delete choice.

You said you wanted to see the created and modified dates.

I don't know of any way to accomplish what you want.

I think you are right. There must not be a way to do what I want to do.
It's not the first time! Maybe someone will read this and think the
embellishment makes some sense for a later time.

Just for my information, in Outlook, how would I find the created and
modified dates?

Thanks for your help!

Right-click the header of the message list and choose Field Chooser. Select
"All Mail fields" from the drop-down. Click Created and Modified in turn
and drag them to the header line.
