How to import Address Book file from Word 98 into Word v.X???

Subject pretty much says it all. We have an Address Book file with 6 or 7
hundred contacts in it that we can't figure out how it import into Word or
Entourage v.X (from Word 98).

Any ideas?

The Address Book in Word 98 actually belonged to Outlook Express 5. (There
may have been a setting somewhere to enable it for Word, I forget.) You
probably have Outlook Express 5 somewhere on your computer - it's usually
somewhere in the Applications (Mac OS 9) folder in OS X. (If not, download
it from MacTopia.) Launch it (in Classic, if you're not booted in OS 9).
Does it already have access to the same Address Book that you're seeing (?)
in Word 98 in Classic on the same machine? Do you really see the Address
Book populated in Word 98 on that machine??

If not, you'll need to copy the "Identities" folder from the Microsoft User
Data folder in Documents folder on the root of the old machine (or root of
the current machine if you used to boot into OS 9) to the Microsoft User
Data folder of your OS X user's Document folder, here:

~/Documents/Microsoft User Data

where ~ means the Home [username] folder of your OS X user, i.e.

[Hard Disk]/Users/[username]/

OK. Now both OE 5 and Word 98 running in Classic in OS 10.2 or 10.3 should
be populated by those 600 contacts.

Now launch Entourage X. Go to File/Import/From a program/Outlook Express and
uncheck everything except Contacts and Groups (unless there's mail, rules
etc. you want to import as well). Click OK or Import to import. Navigate to
that "Identities" (not Office 2001 Identities or Office X Identities, just
plain "Identities") folder in the MUD folder. If you had more than one OE
identity, navigate deeper inside to your Main Identity or named Identity
folder.

That will import the contacts and groups into Entourage X. Next time you
launch Word X (quit first if it's open) you'll find them all there in
Tools/Address Book. You'll also find a very nifty Contacts Toolbar and a
mail merge in Tools/Data Merge Manager that works much better than anything
you've seen before. If you go back to Entourage and assign your contacts
categories, then in Word's Data Merge Manager, at the end of the process you
can click the "Query" button at the bottom and get to restrict the merge to
just contacts of particular categories (one or more at a time) and/or select
and deselect individual contacts.

Paul,

Thanks so much for replying. I understand everything about what you
describe. The problem is, there is an actual "Address Book" format file that
he has used for a couple of years. It is not associated with Outlook Express,
and OE will not import it, that I can figure out. The file has a name of
"Mailings"; is there some way to rename it and trick OE into using it from the
Identities folder?? FYI, OS X sees this file as a generic "document", but OS 9
actually puts a little address book icon on it. It is NOT recognized as being
associated with OE though.

Does this give you any ideas?

Thanks again,
John

Well, it sounds to me as if it may have been some sort of 3rd-party add-on,
long dead. But maybe not. Maybe Word 98 (or, more likely 6 or 5) used such a
file within Word. Where exactly does it live? I'm afraid it's far too many
years since I had Office 98, but if someone else here has it, perhaps they
can verify the existence of this file if you say where it's to be found.
"Mailings"? That sounds so unlikely... You're _sure_ that this is the
Address Book in Word, available in Tools menu? (It still could be an
add-on...)

No, it's no add-on. In Word 98, there are several references to the
"Word Address Book" as an alternative to the OE address book. It
appears that, somehow, my friend had renamed his to "Mailings". I
don't remember where it initially was stored, but I think it was in
the Office folder that is within the Microsoft Office 98 folder
alongside the Word app itself. Looking just now, I see a file called
Address Book Converter in that same folder (I have a version of Office
98 on my legacy machine). It has an extension-looking icon, but it's
called a simple 'document' in the Get Info window. When I double click
it, I get an error saying "the program that created it cannot be
found..."

I hope someone here can come up with another idea; I'm getting
frustrated by this!

Thanks though Paul.

Yes, that was a specific file, and you could choose to use it or to use
Outlook Express (and toggle from one another when picking names). I guess
that came from earlier versions of Word, and it was quite commonly used.

That file can be opened through "File" > "Open..." from within Word 98 (it
can't be opened from a more recent version, as it seems) and then "Saved
as..." MS-DOS Text file. This text file can then be imported in Entourage,
through the "File" > "Import..." option or, of course, opened as a Word file
as well, imported in Excel (and many other apps I guess).
