How to print project specific 'material' resource todo list ???

A

akm

Would like to print a project 'material' resource list
(with only resources used by the project)
as a one column
(eg from gantt 'resource' column which may have multiple items for each task)
todo list of materials to purchase.

Any way to do that directly from MSP2007 ?

'Reports' options all seem to show the entire resource list, one way or
another, regardless if used in the specific project or not (thus many pages
of un-needed printing).

Would be nice if appeared in/like Excel spreadsheet.

Thanks again for your help.

Hi akm,

Welcome to this Microsoft Project newsgroup :)

I would create my own table with a 2 columns for the Resource Names field
and Resource Type. Then filter on the Type field for material resources and
print out. Creation of tables is covered in detail in my series on
Microsoft Project in the TechTrax ezine, particularly #21 on customizing
tables, at this site: http://tinyurl.com/2xbhc or this:
http://pubs.logicalexpressions.com/Pub0009/LPMFrame.asp?CMD=ArticleSearch&AUTH=23
(Perhaps you'd care to rate the article before leaving the site, :)
Thanks.)

FAQs, companion products and other useful Project information can be seen at

Hope this helps - please let us know how you get on :)

I can think of two ways immediately. I am sure there is more than several
ways to skin this cat.

1. Go to the Resource Usage View. Insert a the column called "Type". You
can auto filter the "type" column to show "material". What you are left with
is a listing of all materials and the tasks they are assigned to on the
project.

If that is not to your liking, let's try this. I assume you have many
resources in your project file some of which are used on the project, some of
which are not used. Also, I am assuming a mix of Labor and Material type
resources.

2. Create a new custom visual report. I am assuming you have costs assigned
to these resources (you can always fake it by using $1). Reports/Visual
Reports... select new template. When the wizard starts, select Excel, and
then Resource Usage.

For item 3, click on Field Picker... When the field picker dialog opens,
remove all. You want to add back the variables Cost, Type. Click OK twice.
Excel will start and allow you to drag items over.

What I did was drag "Resources" to the left most column, Type was placed on
the top and Cost was dragged into the "cross tab" area (the big area in the
center).

What I see now is a column on the left with all resources in the project
file. I have two types "Material" and "Work" as column headings. Above that
is the word "Type" with a drop down. Select the drop down for Type and
change it to Material so only the material resources show.

You now show only materials. The items with a non-zero cost are the ones
used in your project. You can sort the list from High to Low and all your
material resources used on the program will bubble to the top. Not real
clean, but it works.

Thank you both for the replies.

Couple things...

1. all table view/s (starting with 'resource usage' table) seem to show all
resources whether associated with a task or not

2. we have a large material resource list (with costs assigned to all) and
only use certain ones with each project

3. the 'ru' table shows resources associated with tasks by display of +
(expand) symbol in front of each resource name, but there seems to be no way
to sort or filter out the resources that have no associated task and leave
only those with an associated task for printing the todo list

Any ideas on what we are missing and/or other ways to get around the above
problem/s without doing a lot of cutnpaste etc ?

Thanks again for your help.

I played around with this a little more. On the Resource Usage view, try
inserting the column "Assignment" and then auto filter that to "yes".

Thank you for the followup.

Think I tried the 'assignment' column (also took another look after your
post) and, unless I am missing something, assignment seems to be only for
'work' and not for 'material' (there are no 'yes' designations under
'assignment' for the 'material' list).

Am still trying to find a category for 'material' that can be filtered or
sorted.
Ideas ?

Thanks again for your help.
