How to publish notes in 2003 server

Bobby

Hello. I want to add the task Notes field to PWA timesheet in 2003. In the
client, under Tools/Published Fields, I don't see the Notes field or any
other note type field. How do I publish this field so users can see notes in
their task view?

Thanks,

Hi Bobby,
I'm afraid that this is not possible. The nearest you will get is to create
a document in the associated WSS site containing the notes items, and link
that document to the task. Then the document can be directly accessed from
the timesheet. The document can just be a .txt file so it needn't be onerous.

Thanks, Ben. I suspect if I tried this in 2007, I would see the same. I don't
see how I can add the notes field to the My Works page/Task Summary view. I
can add the Notes field to some project center views, but that isn't exactly
what I want.

One question, can I use Text1 fields this way? That is, Can I add an
editable text field to the MyWork/Tasks Summary view so that users can enter
a comment and submit it for manager to see in one of the drill down views in
Project Center/Project Details/Tasks Summary view? And also see the values in
the text field client-side?

Thanks again,

Hi
You can very much put Text1 field and make it editable to users.
However in Project 2007 you can modify the My Work page to include comments.

Hope this helps

Thanks. When I do this, I see the comments travel from My Work to the Updates
page. They show up as notes on the updates page, which is ok. But I don't see
the same comment when I add the text1 field to proj pro. I think it uses the
text field. What do I need to do in pro so I have freely flowing comments
from client to user to manager with everyone freely changing the comment
along the way?

Hi Bobby
I think you got a little confused with that. If you put text1 field in
Project Pro you will NOT see comments by default. What i meant was because
Notes are not visible as columns in the task page of resources instead of
using Notes use a column like Text1 to put comments and make this column
availble in the My task page.
But i dont think this will be a good idea beacuse notes normally have free
flowing text. A column like text1 will restrict text entry. More over you
will not know that which user has entered what comment.
Becasue Notes has so much text it is difficult to view it as column and
thats the reason i believe MS has not made it available in the Published
option.

In order to have free flowing notes pass from Project Manger to team members
and vice versa follow these steps
1. As a Project Manager in Project Professional double click on the task,
select the notes tab and put comments.
2. Publish the project
3. Now when the team member views that task in the indicator column he will
see an icon for notes.
4. If he click on that icon he will be able to read the notes and also reply
to it
5. If required the team member can initiate a new note also by clicking on
insert notes.
6. This will create free flowing communication betwwen project manager and
team member.
7. However because the text in notes is plentiful and free flowing it will
not be a good idea to put it as column
8. At any point of time notes can be seen by clicking on the icon in the
indicator column

Hope this helps

Hi,

we use Project Server 2003 and have the following problem with notes:

our project manager creates a plan with several tasks, assigns resources,
publishes the project.
If he later adds a note to an existing task and publishes the project again
(with "all information" or "project plan") the new note is not shown in Web
Access. However, if he creates a new task and adds a note, it is shown.

Any idea? I'd appreciate any help!

Thanks in advance
Nicola
