How we Got Entourage to Exchange working

D

Dan Corjulo

We got everything working perfectly. I was even able to cache locally
the entire GAL, not recommended. Here is how we did it. I will write
this in generic terms so it can be shared with other sites. All account
and domain information has been changed to protect the innocent. Do
to the mysteries of Microsoft code and my own dyslexia I make no
guarantees this is 100% accurate.

NOTE We are still tracking down
issues with reply mail from within exchange not resolving. I'll update
this later but for now I hope this helps someone

Here is our Fictional cast of characters

We have one domain named "dean2004.elect.com" with a local domain
server called "Walter"
We have a user account called "howarddean"
Our fictional exchange servers name is "mailfordean".
We also have a domain called "vermont.vote.com" and it has a domian
server called "Ed"

Two possible scenarios: We'll discuss both

1. If your Exchange server and domain controller server exist on the
same domain the your users authenticate to life is much easier.

2. If you have multiple Active Directory domains, likely in big
companies and if the Exchange server and the server that hold the
Global Address List that Exchange 2000 accesses sits in a domain other
then the one we authenticate to thing are complicated but it will work.
Let also assume those domains are in different forests. This is how we
learned it

Before you start you need the following information.

1. The Exchange 2000 servers DNS name or IP address. The server
name should include domain information. Like
mailfordean.dean2004.elect.com. You might get away with just
mailfordean but give you DNS server a hand.
2. The address of the Exchange servers Domain controllers server.
The server name should also include domain information, especially if
it not the same domain you authenticate to.

3. Possibly you will need the Search Path for the domain server . It
will be something like this ad=elect,ad=com or ad=vote,ad=com. You
may not need it at all.

Lets start with the setup. FORGET ABOUT TRYING THE AUTOMATIC
SETUP.
It may work but it's better to do it manually and understand what is
happening.

1 Under Tools menu select Accounts. Click on the Exchange TAB to
set up a IMAP account. Click the New icon. If you authenticate to the
same domain that your exchange server lives in then fill in all the
information on this screen. The account name is not your email
address. It's the name you use when you log into the exchange server
via the domain. Fill it the domain name in the domain field. Filling in
the password is optional but NOT A GOOD IDEA. Leave it blank and
force the users to enter it each time they open entourage.

OPTNTION 2. If your exchange server exist on an domain other then
the one you authenticate two then you have problems. Information put
into the domain field will not be passed over domains. Depending on
how you exchange server is setup you will be able to send and receive
mail but you will not be able to access to Global address list (GAL).
There is an easy work around. Instead of entering domain information
on its own field include it in your account name. The syntax is as
follows; dean2004\howarddean. This should tell the domain server in
the other domain to check the authentication to the correct domain
and give the users access to the GAL. More on setting up the Directory
Service later. If this doesn't work, well, good luck.

2. Now, remember we are not attempted an automatic setup. So locate
and click the Configure Account Manually Button on the lower left hand
side on the Account setup Assisted window. The account ID and
domain (if you filled it in) should be there. From top to button fill in
each field:

Account Name; Anything you want it to be. Lets call our "My Mail for
Exchange"

Account ID: If it's blank this is where your domain account name
goes. In our example it is "howarddean". (Remember, you may need to
include domain information if your exchange server and the domain
controller for that server are is in a different domain. In that case we
would type "dean2004\howarddean" and leave the domain field empty

Domain: either the correctly local domain or leave it black, see Account
ID

Exchange Server Address: Name or IP address. You may need a
complete name with the domain. Like this mailfordean or mailfordean.
vermont.vote.com. Just the IP address will also work

NAME: You name as you want it to appear in the "From" column.

E-Mail Address. BE CAREFULL HERE. Use only the exchange email name.
Not the full internet email name. In our case it is howarddean. NOT
(e-mail address removed).

2. Now, select the Mail tab. The sending Mail server should be youy
exchange server (mailfordean). Ask your mail admin. to be certain.
There are a whole lot of additional advanced settings. The ones to
watch for are those related to authentication and secure connections.
Start with the defaults. If that does not work try turning them off or on.

3. Directory Service. This is a bear to get working. Remember, the
Active Directory Domain Controller server is the LDAP server. This is
likely to be a different server form the exchange server in a medium or
large company. LDAP can't be turned off on these servers anymore. In
Active Directory Environment it must be on. It our example it is
walter.elect.com. Where the exchange server is in a domain outside our
local authentication domain the correct server is ed.vermont.vote.com.

Now, what about a Search Base? Good luck with this. First leave it black,
go to the Tool menu- Directory Service and lookup a name you know is
in the company. If you can't an error or no entries try this, substituting
your information for our examples: ad=walter,ad=elect,ad=com or
ad=ed,ad=vermont,ad=vote,ad=com. GOOD LUCK. Make certain you
ask your mail admin for the Active directory domain controller server
that exchange does its Global Catalog lookup to. There can be more
then one.
Try tuning off all the advanced settings. The default LDAP port is 389.
Confirm this with your admin if you have trouble. Secure connections
should be off but, if your admin is extra protective it may be on.

4. Advanced. Free/Busy server. Why on earth Microsoft called it this is
beyond me. If you calender information is not syncing try putting this
information in that field. Again, I'll use our example, you should fill in
your own exchange server name: mailfordean.dean2004.elect.com
/public/ or, in our alternative examble:
mailfordean.vermont.vote.com/public/. The Synchronization setting
should be self explanatory

Also

When you old outlook contacts converts over, well, its not a pretty
picture. Best to make a backup, not all the fields convert well, if at all

That's it. ßWhen Apple releases it next OS, Panther, all of these setting
are going to be very important. But its beta so I can't say anymore
