Identifying errors within a document

Document review activity

Background: Our multi-page documents contain errors of
grammar, punctuation, and style. The errors vary and many
are repetitive.

Solution: Create a list of 25 common rules for English
usage (each rule is a short paragraph). Insert the
corresponding rule next to each type of error.

Objective: To "quickly and consistently" insert the
correct rule near the error, and thereby prompt the writer
to become familiar with the rule and to correct the error.

What is the most effective way to implement the solution?
Write 25 macros? Use "notes"? Insert "comments"? Perform
a "cut and paste" from a list of the rules?

Any ideas on how to implement the most effective solution?

Rule example: "Lengthy sentence. Omit needless words;
strive for 25 words or less per sentence."

I would probably use AutoText entries. Depending on how conspicuous you want
these to be, you might put each inside a text box (perhaps give the text box
a background color, and make it inline with text so it doesn't cover
anything up). Give each rule a logical name. When you start to type the name
of the rule (e.g., "long sentences"), Word will recognize it as an AutoText,
and prompt you to press Enter to insert the item.

Herb, thanks a million for that idea! It will be tedious
setting them up initially, but very worthwhile in the
long run.
