I'm having some trouble inserting a hyperlink into an email message which
shows the full server and pathname of a file. The file I want to include is
located in a shared network folder within my organisation, for which the
recipient of my message does have full access to.
As an example, I have the server and pathname of "\\server\folder\" mapped
as being my G drive. My colleague has this same folder mapped as her Z drive.
I'm using the following steps to send the message with a hyperlink to a file
named document.doc which is located in the above mentioned folder.
1) In Outlook email message, click Insert File button.
2) Navigate to my G drive and click once on the document.doc file.
3) Click the drop-down arrow on the Insert button, then select Insert as
hyperlink.
The hyperlink is now in my email message as "G:\document.doc" and it is
underlined with a blue font and it also works as I've tested it. However,
this is where the problem occurs. If I send the message to my colleague, she
is unable to access it because she has the same network folder mapped as her
Z drive, and I have it as my G drive (even though when I move over the
hyperlink it displays the full pathname including the server). So when she
opens the email and clicks on the hyperlink, it doesn't work.
My colleague has shown me that when she inserts a hyperlink using the steps
that I have above, then the full server and pathname is displayed as
"\\server\folder\document.doc" instead of just showing "G:\document.doc" as
it does for me.
Can anyone please help and advise how I can achieve this? I've also tried
using the Ctrl+K function to insert the hyperlink but this results in the
same problem of only showing the network drive letter, instead of the full
server and pathname.
