Leading blank in mail merge addressblock

B

Bill Rubin

I'm getting a leading blank before the name in my mail merge
output and it's not clear to me where it's coming from. The name
is being pulled in as part of the AddressBlock field.

I'm running Office 2003 if that matters. The blank is not
showing up in step 4 where it shows me the <<AddressBlock>>
format, but it's there is step 5 where it shows me the results
of the merge. What am I doing wrong? I know that it's trying to
pull in a nonexistent company name in the Address block
selection, but even though I unselect it, it keeps getting
selected when I go back to view it, and it's not clear that that
is the problem, anyway. I can manually delete the blanks before
I print if necessary, but it would be nice if I could get it to
generate correctly in the first place.

Thanks..
Bill

Frankly I never use the address block so I had to run a test merge using the
wizard to see what you were getting at.
The address block is merely a means of inserting a number of fields. You can
edit the content, by displaying it with ALT+F9, to remove the field that is
causing you grief.

You may find it easier to use an alternative method - see
http://www.gmayor.com/mail_merge_labels_with_word_xp.htm and probably
http://www.gmayor.com/mailmerge_from_outlook.htm which will give you more
control over your merges.

Thanks for the reply.. I tried the alt-f9 and got some stuff
showing up but I still do not see where the blank is being
inserted. I'll look at the site you suggested, but worst case
I'll just delete the leading blank before printing -- it's only
50 or 60 addresses that I'm using for invitations. I don't know
why I'm using address block -- it just got created when I set up
the mail merge, and it seemed to do what I wanted, so I stuck
with it.
