linked objects appearing as .pic in merged documents

Our office uses an account managment software through which we merge hundreds
of different documents, from letters to court pleadings. We have files that
we use as an embedded link for things like the letterhead and attorney
information that is standard in many of our documents. I've just recently
begun using a new (brand new) computer, and now suddenly many of the
documents are not merging correctly. The linked file is inserted into the
document as a picture, not as the text file that it is coming from. Any
ideas why or what I can do to make it keep the text format? It does not
happen in every file and not on other machines in the office. so I'm
theorizing that the new machine must have something to do with it, but I
can't find any Word setting that could be changed to fix this. (just an
aside...I am relatively new to Word, being a diehard Wordperfect user until a
forced conversion three years ago, so the iIntricacies of Word are still a
mystery to me.) Thanks for anyone's help.
