What we want to happen:
We have an excel file that contains what we call raw numbers, let’s call it
the raw data spreadsheet. Although these numbers may change they will always
appear in the same sheet, row and column. This file is linked to the first
sheet of a multi-sheet workbook.
We use formulas to progressively refine the data in the 2nd, 3rd, 4th , or
5th spreadsheet. With a formula referring back to the first sheet the 2nd
sheet may total columns, combine rows or columns etc.
The 3rd sheet my round the data from the 2nd sheet.
There may be a forth sheet for making adjustments to the rounded data and a
5th sheet that adds the 2nd and third sheets together and is formatted for
linking into a Word document.
By just replacing the raw data spreadsheet the numbers will ripple all the
through to the Word document when we click on update.
The problem, what sometimes happens.
When we are working late at night we change the raw data spreadsheet, save
it, or we make a change to the adjustment sheet on the multi-sheet workbook
update the links save the excel files update the link in the Word document
save that document, close all the files.
When we open the Word document to print it, the Word document has the
original data in it again. Using the Word document we open the source excel
workbook and it has the old data in it too. Using the excel workbook we open
the link to the raw data spreadsheet and the data in it is okay and it
updates the open workbook and we update the Word document by clicking on
update. We save all the files again and close them. We sometimes have to do
this 3 or 4 times before we can get the changes to hold. In my opinion we
encounter this more at night but I haven’t kept track of every time this has
happened. Multiple user have encountered this, it is not one person or
someone just forgetting to save the file. We have witnesses that the files
were saved. The problem seems to be intermittent.
Can anyone tell me what is causing this and how can we make it stop?
