locked-out of the database that goes with my merge file

Have a Word merge document form for creating application cover sheets - over holidays our tech staff did some upgrading and file server restructuring (they essentially "re-built" my computer) -- now my merge documents come up saying they can't find the source file (it's been moved) -- but even when I find it for them, I have problems with proceeding. The document appears, but when I try to add new entries to the datalist through the Mail Merge Recipient window, the "Edit" button shows up as "greyed out" - meaning I can't click and begin adding new entries - I'm locked out. (All the other buttons in the window function) - Does anyone know how I can fix it? And how it happened?

Any info regarding this would be much appreciated - I'm drowning here in graduate school applications, and I need that file!

Presumably this is Word 2002?

What type of source file? Were they definitely editable before? Can you open
the data source directly and edit the data (I'm just wondering whether the
restructuring may have left some field read-only or perhaps with new access
restrictions that allow reading but not updating).
