Managing Tasks for another user resource

Dear People's of the list of Project Server Supportiveness,

I'd like to ask a question.



The question is... how can a user be assigned to manage another user's task
resources. We require a secretary to be able to update the tasks which are
normally managed by the user in their Project Add-in for Outlook.

We don't wish the secretary to be a project manager. Is there any other way
they can edit another user's tasks by assigning permissions? Could they do
this within their own Outlook or would they need to do via PWA?

Yes, you can designate a proxy, such as the secretary, to enter progress on
behalf of resources in a project. Before you can designate a proxy, you
must confirm that the secretary is a resource in the Enterprise Resource
Pool. If not, add the secretary to the Enterprise Resource Pool. Assuming
that the secretary will be the proxy for resources on every task in every
project, the Project Server administrator must first do the following:

1. Navigate to the Resource Center page in PWA.
2. Select all of the resources who will have a proxy enter progress for
them.
3. Click the Bulk Edit button.
4. On the Bulk Edit page, click the Browse button for the Default
Assignment Owner field.
5. In the Pick Resource dialog, double-click the name of the secretary.
6. Select the "Apply Change" checkbox to the left of the Default Assignment
Owner field.
7. Click the Save button.

The above set of changes will affect the selected resources in all FUTURE
projects, however, it will not impact current projects in the Project Server
database. To change these projects, each PM must open every project that
he/she currently manages and complete the following steps:

1. Click Tools - Build Team from Enterprise.
2. Add the secretary to the project team and click the OK button (the
secretary MUST be on the project team to be a proxy).
3. Click View - Resource Usage.
4. Right click on the column to the right of the Resource Name column and
pick the Insert Column item on the shortcut menu.
5. In the Column Definition dialog, select the Assignment Owner field and
click the OK button.
6. For each task assignment in which the secretary will serve as the proxy,
select the secretary in the Assignment Owner column.

In step #6 above, you can use the Fill Handle (like in Excel) to speed up
the data entry.

7. When finished, save and publish the project.
