Mark ups keep coming back...

Officegirl2009

I am trying to save a large document with lots of formating and mark ups to
have it open as the final version, everytime that I get it perfect and the
way that i like to send it, it doesn't save in the final version. Everytime
that I open it back up it shows all the markings again on the right hand - I
went to Tools>Options> Security>turned off the make hidden mark up visible -
didn't work. I tried to save it as a read only doucment once I was done with
it and that didn't work either. Still every time I open this thing it shows
everything! Somebody pls help.

See this article for details about how track changes works:
http://www.shaunakelly.com/word/trackchanges/HowTrackChangesWorks.html

The tracked changes will remain in the document until you either accept them
or reject them.
In the linked article, see the section “How do I accept or reject all
tracked changes in the document in one step?â€

Hi Lene
On that respect, I have this document being accessed by my colleagues and
after turning off/accepting all the changes, the document looked fine on my
screen and other colleagues screen but not all. We are accessing exactly the
same document which I posted in our intranet site. Why would that happen?
Has it got something to do with individual computer setup even the documnet
was saved and protected?

Cheers

Tracked changes will not appear when some people open the document if you
have accepted or rejected all changes. Since the document opens with visible
changes, the document still contains changes that have not been
accepted/rejected.

A document that contains tracked changes will appear with visible changes if
the user who opens the document has the setting “Make Hidden Markup Visible
when Opening or Saving†turned on. In Word 2003, you will find the setting
here: Tools > Options > Security tab. In case of Word 2007: Office button >
Word Options > Trust Center category > Trust Center Settings button. In the
dialog box that opens, click Privacy Options.

All changes have been accepted and changes are still showing. Someone in my
office copied this document from another that was not formatted correctly, do
you think that could be part of the problem?

Incorrect formatting as such does not make changes appear in the document.

If you accept (or reject) all changes and save the document, the marked
changes are no longer in the document and they will not show. Did you check
the document in “Final Showing Markup†mode? Are you sure did not only select
“Final†from the Reviewing toolbar? This shows how the document will look
when all changes are accepted but it only hides the changes - it does not
remove them. To accept all changes, you must select “Accept All Changes in
Document†from the menu that appears when you click the arrow next to the
“Accept Change†icon.
