Merge data from several records into one document

I have some word documents which are linked to a word
database. Some of these documents need to have data from
more than one record from the database. For example, a
document has names and addresses from 3 records in the
database. The only way I have been able to do this is to
create 3 separate word documents, each taking data from a
single database record. Then, in the main document, I cut
and paste the stuff from the 3 documents (I have a macro
to do the cutting and pasting). Is there a neater solution
to this ?

How is your word database structured, and how do you know which names and
addresses to insert in any given document? e.g. does one document get data
from the first 3 records in the database, the second from records 4,5,6, or
can the number of records be variable? Or are the records linked by an ID
column or some such? Or what?

OK, the usual approaches to this kind of problem are the ones described by
Cindy Meister on her website at

Look for Mail Merge FAQ, special merges, multiple items per condition.

However, if you want good control over the layout of the contact info., you
will probably not find the DATABASE field approach very useful.
