merging addresses

I am using word 2007 as my main document and outlook 2007 as my name and
address data sourse. I want to merge the address into the main document in
two places. The second place needs to apear all on the same lines ie

Like this in the first place

Name
Address
City
Post code

And like this in the second

Name Address City post code

When I try to do this after the merge is complete it moves the address, city
and post codes on to a new line below. Is there any way around this problem

JohnD,
Do not use the Address Block, you will need to insert individual mergefields
to the document.
1. Create your Data Source from the Contact folder using the Mail Merge
option, and select New Document.
2. When Word Starts:
3. On the Mail Merge toolbar> Under Mail Merge Recipients> Make sure that
the right ones are selected.
4. Select the Insert Merge Fields button. Do not use the Address Block.
Insert one item at a time, such as first_name, last_name,
home_address_street, etc...
5. Copy/Paste this string of merge fields down in the word document, by
hitting the ENTER key a couple of times.
6. Then add spacing to the mergefields as desired, and adding any text to
the letter or word document, such as this Example:

«First_Name» «Last_Name»

«Home_Address_Street»

«Home_Address_City», «Home_Address_State» «Home_Address_Postal_Code»

«Home_Phone»



How are you doing? (Line in Example to just show separation of the two (2)
Merge Field areas.)



«First_Name» «Last_Name» «Home_Address_Street» «Home_Address_City»
«Home_Address_State» «Home_Address_Postal_Code»

7. Merge to New Document> Check for errors> Print Merged Document.

Thanks that was most helpfull and does work in most instances. The only
problem I have now is I am using outlook for my data source and if I merge
from a contact that also has a house name it is included in the address and
consequently moves part of the address onto a second line instead of all on
one line if you understand my meaning

It is inevitable that if you have two lines of address in one of the fields
by including a line break in the field, you will get two lines of result in
the merge.
You *may* be able to adapt one or more of the custom fields to hold the
parts of the addresses you want to display if you merge from Outlook
http://www.gmayor.com/mailmerge_from_outlook.htm
The procedure is essentially that used to produce an initial shown near the
end of http://www.gmayor.com/merge_labels_with_word_2007.htm though how easy
it would be to automate the transfer of the parts of the address using a
macro similar to the one shown would rather depend on how your addresses are
organized.

Have you considered changing the margin settings, or font type or size for
your document? Or just change the font type or size for the text that you
want to appear as one line?

still break.
