MIcrosoft Word indexing

Hi,
I have put 500 old letters into one Word file and made an index. I"ve
learned that every space is important. I was correcting my index,
eliminating the space after the colon as some entries had the space and
some didn't. When I corrected all entries on one page for Henri
Rochatroperty all entries following Henri Rochat: property separated.
Instead of Rochat, Henri 1828-1907 with subcategories under the one
category, Rochat, Henri split each time.

Whatever did I do?
After reading about master document on the net and hearing people say
never use it, I went ahead with Word Index. My file is 3MB. I am a
greenhorn at this.
