Mirroring a number of personal calendars with a shared calendar

Our office has a shared calendar on an exchange server that we are all meant
to enter our commitments into such that our manager booking a consultancy
job can see if there is anyone free.
Problem is that many of us don't remember to double enter in our personal
one AND the shared one leading to chaos!
Any suggestions please.
Our IT techs were sympathetic but of no help...
