missing contacts

when using mac word 2004 and I use the contacts to insert a name and
an address when I transfer the file to another machine and open in
word - the names are no longer in the document - very frustrating

That's when you start typing a name and get a little yellow screen tip and
accept the AutoComplete, right? The name is underlined with little
pink/purple dots?

That method inserts Fields with the names (hit option-F9 to toggle field
codes and you will see the code). You have a couple options, see this topic
in Help:
"Prevent changes to information inserted by a field"
