Mixing Edit and Read Only of Project Schedules

Greg Hunt

Hi,

I'm wanting to setup PS2003 the following way. I need to allow a group of
PM's to view all the projects in their group (defined by enterprise codes)
and only edit their own project schedule for which they are the owner of. I
believe that this can be done by using a matirx of groups and categories but
I'm unsure on how to get it working. Has anybody else been able to do this
succsessfully and can share how to do it?

Thanks.

The default permissions for the My Projects category and Project Managers
group allows each PM to open Read/Write only his/her own projects. Allowing
Read-Only access to the projects of other PM's in a group is a bit more
difficult. To accomplish this, you would need to create a custom Category
and Group for each group of PM's. For example, assume that you have three
groups of PM's (called Team A, Team B, Team C) for whom you need to control
project access. You would need to create the following Categories and name
them something like the following:

My Team A Projects
My Team B Projects
My Team C Projects

In the Projects section of each of these Categories, you would have to
manually select the projects for each team. However, since you stated that
you have created a custom enterprise outline code field that identifies the
group, refer to the following link to give you some ideas of how to automate
the process of assigning each project to the correct Category:

After creating the new Categories, you would need to create three new Groups
and name them something like the following:

Team A Project Managers
Team B Project Managers
Team C Project Managers

As you create each new Group, you would need to select the correct Category
(such as My Team A Projects) in the Categories section of the Add Group
page. In the Permissions grid of the Categories section, you would need to
set the following permissions to Allow:

Open Project
See Projects in Project Center
See Projects in Project views
View Risks, Issues, and Documents (optional; only if you want them to be
able to do this)

You do not need to set any permissions in the Global Permissions grid, as
these permissions are set in the Project Managers group. I believe this
information will get you started in the right direction. Hope this helps.

Thanks Dale. The customer requirement changed when they saw how much work
was involved! If I get the chance to test, I'll let you know.
