My Timesheet / My Tasks

Hello,
I am using Project Server 2007. I have this difficulty to choose the best
way to tracking time and progress.
On one hand there is the My Timesheet, on the other one the My tasks. I
would like this 2 things to be automatically synchronized to avoid resources
to have to update every day or week both. There is an option Task progress:
“Time entry by Timesheet only. Users will sync to update tasks.†But I
realized that this will lock the possibility to update the remaining work of
my tasks (!), this doesn’t make sense for me.
I was wondering if I should use only the Task progress part, disregarding
the timesheets, I would create an enterprise project with tasks like
meetings, studying, etc where the resources could report time spent on this
administrative tasks. On the other hand I like the approval process for the
Vacation entry on the Timesheet.

Could you please give me some feedback how your company is dealing with this
and if you are using both methods (timesheets and progress tasks) if you are
synchronizing, in which way, and if your resources are comfy having to report
time in two different places, it’s just a matter of entering in their routine.

Does your organization actually need to track time spend on all types of
work, including both project and non-project work? If yes, then can use the
Timesheet functionality to capture everyone's working hours. If no, forget
about it and use the My Tasks page only. At present, there is no way for a
TM to enter work on the My Timesheet page and have it automatically appear
on the My Tasks page, therefore, you need to teach every TM how to import
their task work to the My Tasks page. Don't leave this to chance; train
them how to do it and hold them accountable for doing this correctly.

And you CAN use the Vacation approval process WITHOUT using the Timesheet
functionality. The beauty of the Vacation approval process is that the
system creates nonworking time on the resource's calendar in the Enterprise
Resource Pool when the RM approves the Vacation request. This means that
project work gets rescheduled around each Vacation instance automatically
the next time a PM opens a project in which the resource is assigned to one
or more tasks during the Vacation period. Hope this helps.

First of all thank you very much for your reply. Second, I would like to let
you know that I am reading your book "Managing Enterprise Projects using MS
Office Server 2007" and I am finding it very helpful.

Regarding my post, my organization needs to track time spend on all types of

thinking of teaching team members the following daily process:
1. Go to My Timesheet
a. Fill Timesheet;
2. Go to My Tasks
a. Import from Timesheet
b. Update remaining work for tasks
3. If there is changes to do, do them on Timesheet and then import to My
Tasks (to avoid things to get not consistent)

Is there any options I could set in order to minimize consistency problems
between Timesheets and Tasks?

I would recommend the following streamlined process for team members:

1. Enter all types of work time on the My Timesheet page on a DAILY basis
and save.
2. At the end of the week, submit the My Timesheet to your resource manager
for approval.
3. At the end of the week, go to the My Tasks page and import the My
Timesheet information.
4. Adjust the Remaining Work, if necessary, add Notes as needed, and then
submit the My Tasks information to your project manager.
5. Go home and enjoy the weekend. :)

I think the above process will simpify things. You really don't need your
team members importing the My Timesheet page every day into the My Tasks
page, as it makes the time reporting process way too laborious. Keep in
simple and teach everyone how to do it. Hope this helps.

I didn't test the add-in but I read somewhere that with that option:

users will not be able to change the remaining work for tasks and in my
opion this information is very important to plaand manage a project, but as I
say I didn't test it and it mya have be fixed in the mean while...
If you have some feedback about this please let me know.

We care in the process of migrating to 2007, however an issue i ran into
today is in addint a line to the timesheet by selecting a task within
project. I was able to add the line for the Top Level of the project but i
get a WSS error when i try to add a line for a specific task in the same
project.

Could this be related to the fact that we're not creating workspaces for our
projects?

Yes, I suppose that would certainly be the case. However, I have never
assumed that adding a task to the My Timesheet page had anything to do with
WSS. That error is weird. I will gladly invite our technical folks to
comment, if they would care to do so. Hope this helps.

hi,

i want to reduce time entry process by removing time entry in my Timesheets. Can we directly switch to time submission through My Tasks?

Also, since we are currently following this process of time entry i.e.

1. Go to My Timesheet
a. Fill Timesheet;
2. Go to My Tasks
a. Import from Timesheet
b. Update remaining work for tasks

I want to know what server settings we need to change in order to switch to time submission through My Tasks?


Also in My Tasks the hours are displayed as Days i.e. 1d. Can we change it to hrs and how?

If your organization uses both the My Timesheet page and the My Tasks page,
the only way to speed up the process is to install the Tied Mode solution
that ties the time together from these two pages. You can download it for
free at:

With this tool installed, you would eliminate the need for users to import
the My Timesheet numbers into the My Tasks page. But that's pretty much all
it eliminates. Your users would still need to enter their time in the My
Timesheet page and then submit the timesheet to their resource manager.
They would still need to go to the My Tasks page, adjust remaining work and
add notes, and then submit the updates to their project managers. So,
there's really no way to shorten the time reporting process very much.

Regarding your second question about how to show Work in Hours on the My
Tasks page, do the following:

1. Log into PWA with administrator permissions.
2. Click the My Tasks link in the Quick Launch menu.
3. On the My Tasks page, click the Site Actions pick list and select the
Edit Page item.
4. In the upper right corner of the My Tasks web part, click the Edit pick
list and select the Modify Shared Web Part.
5. Expand the Project Web Access section of the My Tasks sidepane on the
right.
6. In the Project Web Access section, click the Work Format pick list and
select the Hours item.
7. Click the OK button to close the sidepane.
8. In the upper right corner of the screen, click the Exit Edit Mode
button.
