No information in availability in Outlook 2003 calendar

Hi,

I'm a complete novice to setting up anything in Outlook. I want to
set up shared calendars that allow people in my organisation to view
each others' availability. I've set everything up as per the
instructions below and double checked all.

When I check availability in a meeting I get No information for the
people I'm inviting to the meeting.

I know there's an issue with outlook 2003 being hosted on exchange
2007. I don't want to ask our IT support if we're using Exchange or
not because they're external and I'd rather not hassle them until I
have to. They're very busy and our service contract isn't very
strong.

Before I have to ask them, I wonder does anyone know of any other
reasons that I could check that might be causing me to not be able to
view availability in my calendar?

Milly Staples [MVP - Outlook]

How far out are you trying to view availability? The default is 2 months
but setting it to 12 months will solve most problems.

Tools->options->calendar options->Free/busy button.

Hi Milly,

Thanks for your response. I had that set to 36 months so I don't
think that's the issue. There are about 20 people in our
organisation. When I try to schedule a meeting with the whole
organisation I can see some people's diaries but not others. It
doesn't appear to be related to who is in and and has their inbox
open. Do you know if that's likely to be related to the version of
exchange server we're running on. We're using Outlook 2003 but I
don't know what the server version is.

Milly Staples [MVP - Outlook]

The Free/Busy should be published by the Exchange server. The version may
matter - check with your IT to see who is on what version and if the version
matches the people with the problem.

free/busy you see.

Hey Diane,

I think the problem was that some people in my organisation had never
used their calendar. It appears that once I set an appointment once
in their calendars the calendar was initiated and I could see all
their information.
