Numbering again

I have had ongoing conversation with John McGhie regarding
numbering not advancing. Thought it was working but this
is what is happening now. (Previous call is about 10 calls
back). I redid the numbering again and I am
getting the greyed out number in the number format and the
first two levels are working. When I come to Level Three
I am getting the number to advance but incorrectly.

1.0 Introduction
1.1 Game Plan
1.1.1 Linda
2.1.1 Sue
3.1.1 Cathy

So it is advancing but the first number is advancing, not
1.1.1, 1.1.2, 1.1.3

This is maybe because the actual third level number is in front of the
numbers for level 1 and level 2.
Form the Style pane or dialog, select the style associated with level 1,
then choose to modify it.
Once you get to the numbering dialog, select the numbering scheme for the
third level. In the number format field, delete everything and recreate it.
(Insert the level 1 number, a ".", the level 2 number, another "." and
finally the level 3 number).

If that does not fix it, write back!

I am defeated. I am going to type the numbers in without
numbering even though I have a 300 page document. Thanks
for your help, but I have spent a week on this now and
have to move on.

Linda -

Don't be defeated. This is easy. Here are three plans to achieve what
you want.


PLAN #1 - MODIFY WHAT YOU'VE GOT NOW


* Are you using three *different* styles for levels 1,2,3? That's a
must.

* Is each of the three styles linked to its appropriate level in the
'Link level to style' box in the Customize dialog? That's a must.

If you've met both those criteria, go back to the Customize box and do
the following:

* Delete everything in the 'Number format' box for levels 1, 2 and 3.

* For level 1, put in a 1,2,3 number style from the 'Number style'
box. Then type in a period and a zero.

* For level 2, go to the 'Previous number level' box and click Level
1. That will put a grey code in the 'Number format' box. Then type
in a period. Then go to the 'Number style' box and click the 1,2,3
style. That will put in another grey 1 in the 'Number style' box.

* For level 3, go to the 'Previous number level' box and click Level
1. Then type in a period. Then go back to the 'Previous number level'
box and click Level 2. That wlll put in another grey 1. Then type in
a period. Then go to the 'Number style' box and choose 1,2,3. That
will put in level 3.


PLAN #2 - START FROM SCRATCH


* Open up a blank new doc and put in a few blank paragraphs.

* Apply the built-in Heading 1 style to a paragraph.

* With your cursor on the Heading 1 paragraph, Modify > Style > Format
Numbering. Now you should be in the Gallery with the 8 windows.
Click the Outlne Numbered tab.

* In the Outline Numbered gallery, click window number three on the
top row, the third of the four from left to right.

* Click 'Reset'. You will get a legal numbering scheme: 1, 1.1,
1.1.1

* Click Customize. That takes you to the Customize dialog.

* Link Heading 1 to level 1, Heading 2 to level 2 and Heading 3 to
level 3 as described above.

* For level 1, in the 'Number' box add a period and a zero.

* Adjust the indentation of the levels 2 and 3 to suit your needs.

* Click OK, OK. It should work perfectly.


PLAN #3 - USE THE LISTNUM FIELD FOR ALL THREE LEVELS


A third way of doing this is with the LISTNUM field. You might find
LISTNUM easier for the numbering set-up, since legal numbering is one
of the defaults, but not for the Table of Contents (if there is one).

* For level 1, press Ctrl-F9 and type "LISTNUM LegalDefault \L 1 "
between the brackets. Then type in a zero.

* For level 2, press Ctrl-F9 and type "LISTNUM LegalDefault \L 2 "
between the brackets.

* For level 3, press Ctrl-F9 and type "LISTNUM LegalDefault \L 3 "
between the brackets.

And you were going to do 300 pages by hand?

Bruce beat me to it, but I totally agree with him!
Never let Word defeat you! It is just a dumb software... you are an
intelligent user! It is just a matter of learning how the tools work.
Better spend some time mastering this now and reap benefits for ever than
doing 300 pages by hand and be stuck again later.

Bruce gave you excellent suggestions, just write back if you need more help.
