Numbering issues with Table and Figure captions

Sarah Adams

Hello!

I'm writing a medium-sized report in Word 2002 (SP3),
which contains many tables and figures. I use Insert ->
Captions for the Table and Figure captions and then
insert the associated cross references in the text.

Word keeps the Table and Figure caption numbering
sequences separate, but only for so long. At some point
(about half way through the document) when I insert a new
Table caption, Word goes back through the document, makes
all Figure captions into Tables captions, and re-numbers
everything in a single sequence. Or if I insert a new
Figure, Word makes all Tables into Figures and re-numbers
in a single sequence. Word has done it both ways.

I've tried various fixes including:
~ Removing and re-inserting the captions and cross
references.
~ Saving the report as text, copying the text to a new
document, and re-inserting the captions.
~ Flipping to the field codes and manually changing the
caption name inside the field code {SEQ Figure \*
ARABIC}. I thought I had it licked this time, but no.

I've used Word captions for over six years and thought I
had seen everything. I admit I'm stumped this time.

Any suggestions or ideas would be much appreciated!

Cheers,

Sarah

G'day "Sarah Adams" <[email protected]>,

The best way is to define your styles properly and make them use their
own list templates by setting their numbering. Even better is to do
this from VBA to use named list templates.

Thanks for your reply, Steve!

I tried creating 2 new styles called Table Caption and
Figure Caption through Format->Styles (i.e. the same way
I create/change styles for Headings or normal text).

When it came to setting the numbering or list templates,
I got a bit stuck. In Styles, when I go to Format ->
Numbering -> List Styles, the numbering options don't
seem appropriate and the buttons for adding new list
styles are greyed out. The usual numbering options don't
seem right either. Searched Word Help but no dice.

Am I going in the right direction using Styles?

VBA is a bit beyond me ;)

Cheers,
Sarah

Yep - just pick any simple numbering format and customize it to suit,
stick the word Figure before it for example.
