I am using visio 2003 (and Excel 97 or 2000) to create thousands of org chart
drawings. This is the process I am using:
1) Create table of data in Excel, save as .csv file
2) In Windows Explorer, rename file to .txt (since wizard cannot read .csv
files but wants that format)
3) In Visio: File->New->Organization Chart->Org Chart Wizard (US)
4) Select: Info already stored in a file or database
5) Select: A text, Org Plus (*.txt), or Excel file
6) Select: Browse, find file and Open
7) Select: Primary and Secondary fields
8) Select the fields I want to display (I have 6 including one called 'NAME'
- when it was called 'Title' the wizard would create a second entry in the
right hand box in the next step and I would have to move it to the left or it
thought it had a duplicate field)
9) Confirm that the same fields are listed in the RH listbox
10) A new chart is created with all fields in the middle of the box and all
boxes square.
*********
11) I now launch the Organization Chart->Options window
12) I change the height to 1.00 in and select the 'Use these option settings
for new org charts' checkbox
13) Under Fields, I put four of the fields in Block 1-4 and uncheck them in
the listbox
14) Under Text I change the font size and color of Blocks 3 and 4 and change
the font size of NAME to 14pt
15) I select OK and a new chart is created.
16) I save the chart under a new name.
HERE IS THE PROBLEM:
When I create my next drawing using the wizard the following occurs:
Either I have all the options still set but none of the 'block' text is
displayed (which is also true if a new shape is added to a drawing) i.e. a
box with two fields displayed
OR
All the options have been reset and I need to set every one of them again
for the next drawing. i.e. square boxes, default font and color settings, all
fields in center of box
Question:
What am I doing wrong?
Why won't checking 'Use these option settings for new org charts' actually
remember?
Why won't new shapes added to a drawing inherit the option settings already
set for the page?
Since adding new shapes does not seem to inherit the option settings for the
page I cannot create a Template drawing and just add a shape or two to create
a new drawing.
