Organizing different summaries in Calender

B

Hi there,

I have a Gantt chart with (2) summary level assemblies. I have colored the
font so the tasks under each are clearly differentiated. The tasks for each
summary overlap in time.
When I look at the calender view, none of the colors from the Gannt show up,
and I would have to color each individual task to differentiate the two
assemblies. For example, Monday we have several tasks for unit #15, as well
as some fo teh initial tasks for unit #16. I'd like the unit #15 to be blue
and the unit#16 tasks to be green (automatically as from the Gantt chart).
How can I automaticaly have the calender color code the different asemblies?

Thanks

barry

Hey Mike,

Thanks for the reply. I'm not sure I understand your suggestion, though.
How does the ability to create custom task fields in Project translate to
formatting/organizing my data on calender view?
For my current project, I'm entering all of the tasks to make (2) identical
assemblies (which are represented by summary tasks) in Gantt chart. Then I
pivot to the calender view to see the daily layout of the tasks and when I do
that, I want to see the tasks color coded for the appropriate summary. For
example, on Friday, we have several tasks to complete Unit #15, as well as
several different tasks to initiate Unit #16. I would like to see them color
coded so that everyone can tell at a glance which tasks on Friday are for
Unit #15, and which are for Unit #16, etc. I have color coded the individual
tasks under each summary in Gantt chart, but when I pivot to calender view,
they are not colored. I COULD probably reformat each task on the calender
view, but that would take forever, and not be linked to changes/adds from the
Gantt view.
Suggestions?

Hello Barry,

In the calendar view, formatting text is quite limited. You have two
relatively easy fixes: Marked tasks and highlighted tasks. To use
the marked tasks, insert the Marked field into the task table (left
side) of the Gantt chart view and set the tasks for Unit 15 to "yes".
(You can then remove the Marked field from the table). The default of
the Calendar view is that the bar for Marked tasks are formatted
differently. If you wish to change the text format, choose Format >
Text Styles and select "Marked Tasks" from the Item to change drop
down. Change the color, font, font style, or size as needed.

I hope this helps. Let us know how you get along.

Julie,

I tried your suggestion for Marked tasks and it achieved what I needed in
the Calendar view. Thanks for your help. Sure would be nice if MS Project
would carry the formatting through from the Gantt chart a little better. A
more robust formating would help.

Thanks again,

Barry

You're most welcome Barry. I'm glad the marked tasks suits your need.
I understand your comment about carrying through formatting from the Gantt
chart view to other views, but by having the formatting *not* carry through
you can format multiple views of the same data as needed by multiple users.
It would be nice through to have more formatting choices in the calendar view.

Thanks for your feedback.

Julie
