Outlook 2003 - Client Rules

A

Amy

I am using Microsoft Office Outlook 2003 and have created various filter
rules to organize my incoming messages by moving them to local folders
according to the filter rules. I get the following error now:

"One or more rules could not be uploaded to Exchange server and have been
deactivated. This could be because some of the parameters are not supported
or there is insufficient space to store all of your rules."

I looked in the Help section and it is my understanding that client rules
are to be applied after the message appears in my inbox. With the above
error, does this mean that my rules are stored on the server? If all my
rules are for organization as a client rule, may I have the rules stored on
my machine, instead of on the server?

Thank you for your help,
Amy

When you use Exchange, all rules are stored within the mailbox and thus on
the server. You cannot change this unless you make your default delivery
location a pst-file but then everything is stored locally instead of on the
server.

The rules limit depends on your version of Exchange. Exchange 2003 and
previous have a 32KB of rules limit where Exchange 2007 has a configurable
rules limit up to 256KB and is set to 64KB by default.

Instead of only using rules to sort your messages, you might want to
consider using other sorting methods such as Custom Views and Search Folder.

Thank you for the information.

I changed my Outlook mail option to deliver my incoming mail to a local .pst
file that is stored on my machine.

Is there somewhere I can find instructions on how to create rules that are
stored on my machine that move the local messages to folders?

You're welcome! :)

Where do you get stuck with creating the rules? It's a simple move rule
which can be created via Tools-> Rules and Alerts... As you now have a
pst-file set as the default location, the rules are stored on your machine.

I have the rules created. If I manually select run rules on inbox (inbox is
the local pst file), then I can run all my rules. But, I can't get it to
automatically do that and I get the Exchange Server error message stating
that there might not be enough room to store the rules.

Is there something I need to do to make sure my rules are stored on my
machine and not on the server?

I thought that when using Exchange with Outlook 2003, even with delivery to a
PST, the rules got stored in the mailbox.
