I have several categories of CONTACTS in my contacts folder. For
example; currently there are 90 OODLS contacts, 40 Tax Services
contacts, 65 Counties contacts, etc. I group these contacts in my
contacts folder using the “Categories…” feature on the Detailed
Address Cards screen. That way, when I click on the “By Category”
option on the ‘current view’ screen these contact are all nicely
grouped. I also customize the “By Category” to display only the
‘file as’, ‘company’, ‘business phone’ and ‘e-mail’ information per
contact.
Problem 1 – I lose the customized view by category every time we move
the PST file.
In order to send a group email to the contacts in the various
categories, I also create distribution lists in the “Address Book”. I
create an OODLS distribution list for example, and then click on the
distribution list and “Select members” from my list of contacts and
bring them over to the distribution list. I now have the same 90
OODLS contacts in my OODS distribution list as I have in my group of
OODLS contacts.
When sending mail to this distribution list I open Outlook, click on
‘new’, click on ‘To…’, in the ‘select names’ window I type OODLS, up
pops my distribution list name of OODLS, I click on it and they do my
email.
Problem 2 – After a .pst file move, the distribution list appears, the
contacts in the distribution appear, but once I remove, add, or simply
try to UPDATE or SAVE & UPDATE, an error message appears saying
something to the effect that there are some contacts not linked
correctly, and I have three options,
1. cancel and do nothing
2. try to fix errors and if they can’t be fixed the entry will be
deleted
3. delete all entries
Option 1 is self explanatory
Option 2 – if I select this option, all my little contact icons go
grey and the list is no longer useable
Option 3 – does just that – deletes all my contacts
Problem 3 – When doing option 1 above (cancel or do nothing) ant
attempting to expand the Distribution list once it is in the ‘To…’
line – also fails giving you a similar error message – the
distribution list is damaged.
In the past, the fix has been to completely delete the distribution
list contents and the distribution list itself. Then establish a new
distribution list and “select” all the contacts again and start over.
This worked in the past, but on the latest move, even that did not
prevent the error message. So we move the .pst file back to its
original location, rebuilt the distribution list there, and things
work again.
