outlook contacts mail merge

Please advise:

1. how do i copy address book/contacts of a public file
into personal contacts without it becoming a subfolder?

2. How do I get all my personal outlook contacts on
labelling mail merge if not all conatcs have the same
field filled in.

I have used word help but this does not address me
questions.

1) Select and copy the *items* not the folder.
