Outlook E Mail Accounts

We are a small company (8 employees) we operate a small pier to pier network
(No servers) and we use Outlook as uor E Mail Client. The boss wants one
manager to collect all the undeliverable (Bounced) E Mail. I have set this up
OK. However when this manager is away the boss wants someone else to check
these E Mails. I have set up a general account on one of the PCs and created
an E Mail account which uses the same PST file as the managers account. (I
have done this so that data security is maintained). My problem is that if
the general account is not used for a couple of weeks when outlook checks for
mail it downloads all the mail for that period even though the mail has been
downloaded previously. Is there any way that I can do what I want to do
without re downloading. Both accounts use the same E Mail address details.
