Outlook not udateing calender while closed

I have a problem where users are going out of the office. Other users are then sending meeting requests to them. As outlook is closed no tentitive entry is placed in the calender and users are then checking the free/busy information and seeing that nothing exists are sending conflicting meeting requests. If anyone knows a solution to this problem or even if it can't be done, Please let me know.

Milly Staples [MVP - Outlook]

Use the option under tools->options->calendar options->resource scheduling,
to accept all meeting requests. Mark them all as tentative. Ensure that
the mail is going to the user's exchange mailbox and that the meeting
requests are not moved. The auto-accept should work then to update the
calendars (mailbox based) since the server is doing all the work.
