Passing information between Word documents using Windows shortcut

Hi,

I am writing policies for servers.

I have a central directory containing all the policies (i.e. one for
W2K3 Server installation, one for W2K Server, one for Lotus Domino, one
for Tivoli, etc.) that can be used by any system; kind of a central
repository. All these policies are generic and they do not contain any
information specific to any machine.

I also have, for each server, a specific folder (somewhere else on
disk) in which I put shortcuts to the appropriate policies to
reconstruct the server in the repository. This way, if a general
policy is changed, all reference to it do not need to be changed. So
far, no problem, no headache.

Now what I would like to do is to create a Word file in each specific
folders (where the shortcuts are) containing pieces of information that
are specific to the machines (i.e. IP address, host name, RAID config,
etc.). Still okay with all this? Now here it comes.

I'd also like to reference this specific data in the general policy
when it is called by the different shortcuts in the specific folders.
In other words, I'd like to have dynamic links in my general policies
that would point to the files in the specific folders, and I'd like to
pass the reference information using the Windows shortcuts used to call
the general policies from the specific folders. How many of you have I
lost?

Is there anyone who can help me or suggest a similar way to accomplish
this? Note that the policies written in Word format cannot be changed
to anyother format but the files containing specific data could be
changed to whatever format would make this work.
