pasting and formatting

I am preparing a document on a mac with Time New Roman font. A colleague
sent me a Word document prepared on a PC in Times font. I copied and
pasted his text into my document. I highlighted and changed the font so
it is all TNR on my copy. Despite saving, the sections from him keep
reverting back to Times.

Ken,

It's very unusual for PCs to have Times -- usually they have Times New
Roman. Most Mac users have their default font in Times, because it looks
better on most screens. What's happening is that Times New Roman from PCs is
automatically displayed in Times when it comes up on your machine.

The solution is easy: don't apply manual formatting but -- for these
documents, or all documents -- define the style of the font you use for body
text or whatever it is, as Times New Roman. Choose Format menu -> Style ->
select the style -> "Modify" button -> Format -> Font -> select Times New
Roman -> OK etc your way out. His text will then stay in Times New Roman.

Unless this is a one-off problem, you should learn more about styles,
because the less manually applied formatting you use in these circumstances
the better. The good part is that Word has some fantastic time-saving,
efficiency-enhancing capabilities via styles. The less-good part is they
take a few hours of study to really get your brain around them. Start with
the Help menu, and look at the Word MVP website. You could also download my
notes on the way I use Word, called "Bend Word to your Will", at
www.mvps.org/word/FAQs/WordMac/Bend/BendWord.htm, and look up "styles" in
the table of contents after reading the introduction, which mentions several
sources of good advice on styles and other Word topics. In this document
there are also some notes on cross-platform sharing of documents, based on
my observations and experiences (it's the area I operate in, because most of
my colleagues are on the PC).
