Am I correct here? If data contains thousands of unique entries then a pivot
table is not the appropriate way to extract data.

Is that why I get the message that the data contains too many unique items for
a pivot table?

10,000 taxable properties for example would have to first be identified into
groups of values between defined ranges for example, and then a pivot table
might be able to provide the data I'm looking for. Is that right?

I believe you're correct in your perceptions :)

Pivot tables are primarily for the purpose of summarizing like data within a
group of records. For example, if you have a list of properties & the fields
of information include # of Bedrooms, Sq. Footage and Price, you may want to
determine what the average Sq. Footage is for the 2-3-4-5-6 Bedroom houses,
perhaps further grouped by price . IOW, using data items that all records
have in common.

You might also have a look in Excel Help using the keywords [ limitations
and spcifications ], then click the link for Pivot Table specs for details.
I believe the 8,000 limit pertains to rows produced in the PT, however, not
to the total number of records in the list. I've not personally worked with
more than a few thousand records in a PT report, so I'm not certain of that,
but I don't think 10,000 records (rows of data) should be a problem. The
message is more likely telling you that the resulting number of rows in the
PT is exceeding the 8,000 limitation - probably because you're using fields
that don't contain like information.
