Printing envelopes

Loretta

I am having trouble printing envelopes. Previously I was able to highlight an address on a letter and when I went into Tools and highlighted Envelopes, the highlighted address would come up under 'Delivery Address'. However with the new Word 2008 it seems to only bring up the first line. Can you help?

I am having trouble printing envelopes too. The address is coming up OK for me, but my printer is not picking up the signal to print envelopes rather than on a regular sheet of paper. I have printed six pages now, and still can't get the envelope to go through.

You probably have to set the printer to Manual Feed? In File | Print,
try changing the Copies and Pages dropdown to Paper Feed to change to
manual.

I am having the identical problem as Loretta and none of the responses I've seen addresses the problem. Any solution?

I'm having the same problems as Mike and Loretta.

It can't just be the three of us.

Any help appreciated.

Well, it's not me or Beth. Try answering Beth's questions so that we can
figure out what is different on your machine or in your document.

Loretta, Mike & Simon -

Have you tried *not* selecting the address block? Just go to the envelope
dialog & let Word pick up the info for you. That's the only way I ever do
it... selecting text is too much work:)

Very odd - I've never known it to not work... Can you provide some
descriptive info on how the doc is set up? Is the address block using soft
or hard returns? Is it this one doc or any letters you try to generate
envelopes? Any other details would be helpful.

It would also help to have confirmation of your version of Word, OS X &
system type and that you are in fact using the Tools> Envelopes command.

Anyone having trouble printing envelopes from Word 2004 running under
Leopard might try preparing your envelopes without using the text boxes that
are included in the Envelopes tool. In other words, create your own template
using the regular paragraph formatting features, without the text boxes, and
see if that works. My secretary discovered this issue by trial and error
after becoming unable to print envelopes after we installed 10.5.2. It
appears that the contents of text boxes in a Word 2004 document don't print
(sometimes??) under Leopard 10.5.2. For us, this problem has not gone away
so we have dispensed with text boxes.

However, page numbers inserted in headers using Insert>Page Numbers do print
apparently because they¹re done using frames, not text boxes. So if you
want, you could try substituting frames for text boxes, although frames
aren¹t as useful in general.

Hi Kenneth,

You are aware that Word has a preference to print or not print "drawing
objects"? Text boxes are drawing objects. Is this really an
intermittent bug, or might this preference have become unchecked and you
didn't realize it was there and that it mattered?

I have noticed several short comings (in envelope printing) in Word
2008 Mac compared to what I was used to in Word XP PC.
In my case I have noticed that the selected text in a letter shows up
in the "To" envelope box, but it has its own paragraph format. I can
change the font but can not format the line spacing in either the
"from" or the "to adress". Also there is no option for saving any of
your preferences. I use my PC with Word XP for envelope printing. I
guess progress is not always forward!

How are you attempting to do so & what is happening to prevent it? Is this
with a single envelope as part of a letter doc or with merge to envelopes as
well? If the following isn't working for you we need *specifics* - "cannot"
doesn't really tell much:)

You should be able to select the content in the Placeholders & change *any*
of the formatting just as in a doc. If you change the formatting directly in
the doc it will apply to just the one envelope or main envelope doc if
merging. The default formatting for both the return address & the mailing
address are controlled by Styles: Envelope Return & Envelope Address,
respectively. If you want to make a permanent change modify the styles.

FWIW, this is no different than in PC Word - it's just that the styles in
Word 2007/2008 are *different* from those used in earlier versions... But
even in earlier versions formatting of envelopes is not controlled by
Preferences (or Options on a PC).

I'm having the same problem as Loretta, Mike & Simon. Can't get the address from the document to the Delivery box in the Envelope. This happens in a single letter, no mail merge. I type a letter with name an address and select Envelope. The address does not transfer, if I highlight the address it does not transfer. The only way to get the address to the Envelope Delivery window is to type it in or cut and paste.

This was a source of frustration for me, but I took CyberTaz's suggestion and
just selected the Envelope tool and that worked. It seems that Word 2008 will
recognize a document as a letter if it has something that looks like a
destination address followed return address & date as the first elements of
the document.

IMHO, this may be a case of Word being a little too smart for its own good.
Having the destination address already selected (a habit I had from many
previous versions) shouldn't cause a problem. Still, this is a pretty good
release for a huge suite that is only in its 0.1 version.

I am running Leopard 10.5.2 on a Power Mac G5. Since I installed Office 2008, I cannot print envelopes, in particular Size 10 business envelopes.

Previously, I could select text from a master list of addresses, choose ENVELOPES and the address would appear in the TO box. I could reformat it any way I wanted to, click OK to see the preview and print.

Now, I can select the text from the same master list, choose ENVELOPES and the address will appear in the TO box. Clicking OK to see the preview initially revealed that the address text was properly positioned. However, printing the envelope revealed that the address was four to five lines higher than it should be on the envelope.

I called Microsoft and after ages with Tech Support, some changes were made in print setting so that now when I print an envelope, the address appears at the very bottom of the envelope, if you held it up lengthwise instead of width-wise.

The master address list has been updated so that it has the .docx suffix. The addresses have hard returns for each line.

I am printing to an HP LaserJet 2200d, which has worked perfectly to print envelopes for every prior version of WORD.

Microsoft keeps trying to pawn off the problem to HP and vice versa. Neither company has any current plans to offer an update/driver to solve this problem.

Any and all suggestions most welcome.

You are lucky! With my Word 2004 on Leopard I am not offered "Envelopes" in the Tools menu. Only labels. So I can't even start to fail!> Any suugestions?

Make sure you didn't accidentally turn on "Word 5.1 Menus". Look under
View to see if there's a check next to that option. If that isn't the
problem:

If you go to Tools | Customize Toolbars/Menus, select the Menu Bar, and
click Reset, it should set all your main menus and built-in toolbars
back to the default.

If you have customized your menus or toolbars, you may want to explore
the Tools | Customize, Commands dialog, and drag the commands you are
missing back to the toolbars/menus yourself, rather than wipe out your
customizations by clicking Reset.

I have been having problems printing Size 10 business letter envelopes since installing MS Office 2008 on my Power Mac G5 running OS 10.5.2. It doesn't matter if I print to the HP LaserJet 2200d, to the HP Pro L 7780 AIO, or to the Brother MFC 885-CW AIO. All of these printers produced envelopes perfectly before installing MS Office 2008 for Mac."Drawing Objects" is active in Word preferences. It makes no difference if I type the address on a blank document page and select "Envelopes", of it I highlight an address from a document that is nothing but a list of addresses. The address either does not appear at all, or it appears on the envelope about four to five lines higher than it should be. Any help will be most sincerely appreciated. MS has been of no help whatsoever.

Hi Michelle -

I don't have a permanent fix, but this workaround may help in your
situation: Replace the hard returns (¢Ò) with line breaks (?). I've always
preferred doing so in address blocks since I was put wise to it years ago -
the entire address block is treated as a contiguous paragraph which
facilitates selecting, formatting, etc.

I understand the frustration but this type of issue is historically the
classic "who-struck-john". Printing is actually an OS service executed by
the printer driver, so Apple sets the standard & it's the responsibility of
the printer mfrs to write compatible drivers. Unfortunately, (as I
understand it) Apple changed some things in 10.5 then again in 10.5.2 to
which some models of some mfrs haven't yet been able to adjust. Then the
software comes in to play but it's primary contribution is simply to hand
off the data to be printed. However, what it hands off has to be accurately
coded, so for the user it always appears the software is at fault -
especially since some programs print OK but maybe just 1 program doesn't.

The thing is, there are several different levels of print services supplied
by the OS & each program calls for a different array. Word's demands are
among the most stringent, so that's often where the problem surfaces, but it
could be a flaw in the OS or the driver... Or both. Those of us on the
"outside" don't have any idea where the source of the problem lies but
neither of the developers wants to step up & say "it's my fault":) nor do
they want to spend the time & money to trace it only to find that it is
something caused by one of the other guys.

What may be useful is for you to use Word's Help> Send Feedback to report
the issue directly into the MacBU database. Include all particulars
including the specific drivers as well as the models you're using. If they
can reproduce the issue they'll be more likely able resolve it or at least
narrow it down. I hate to say it but it doesn't seem to be a widespread
issue either - this is about the only printer issue I've seen here since the
12.1 update shipped & there weren't may prior to that.
