We have the Groove with the hosted administrator server to administrate our
accounts. What I do not know is how private are the workspaces from the
administrator. Are workspaces safe from an administrator from accessing
workspaces the administrator should not be accessing? If they able to view
or grant themselves access will they show up in the workspace as a normal
user? In short is the only way a user can access a workspace is if they are
invited into it or given an archived version of the workspace?

Yes, the only way a user can access a workspace is if they are invited into
it. When a use was given an archived version of the workspace, he can view
the workspace. However, he cannot get the updates on the original workspace.
