Problem relating to RBS

Sharat Sanketi

Hi All,

We have implemented project server within our organisation.

I am facing a problem and would like your help to resolve this.

Our RBS is designed like this:

ABC (organisation)
-SBU A
---Program A
-----Program A Manager
--------Portfolio A
-----------Portfolio A Manager
---------------Project Manager
---Program B
-----Program B Manager
--------Portfolio B
-----------Portfolio B Manager
---------------Project Manager
---Program C
-----Program C Manager
--------Portfolio C
-----------Portfolio C Manager
---------------Project Manager

Portfolio Managers usually look after only one portfolio. However, now
we face some cases where a single resource is looking after both
portfolios B&C.which are under different programs. If I set the RBS at
SBU A level, then the portfolio manager will be able to view
information for Program A which is not allowed. If i set their RBS on
one portfolio, then they wont be able to view information on other
portfolio!

How can i resolve this?

Given the structure of your RBS, and the fact that the RBS outline code is
not multi-value, then no, there is no way to use the RBS to allow a
Portfolio Manager to see more than one portfolio without placing him/her at
the SBU level. An alternative would be to use custom Categories and custom
Groups for this purpose, but this solution would be very labor intensive for
the Project Server administrator, as he/she would need to add projects to
each custom Category. Just a thought. Hope this helps.

A low-cost workaround would be to create another user account for the
Project Manager. One account would be in SBU B and one account would be in
SBU C. One of these accounts can use Windows authentication, the other would
use Project Server authentication. We use this solution for a user who works
50% in one role and 50% in another.

This has always been a limitation. There is clearly a need for a "PBS"
structure (outline code) which can be assigned to a plan or a resource.
The level assigned to the plan would allow resources at that level or
higher to access that plan information. Can we add this to the
"suggestion box".
