Problem sending emails

I have trouble sending emails (receive them just fine). It seems to be
random, but especially several recipients never receive any email from
me.

Sometimes they go out, but never arrive. At other times I get the
following error message "Task 'info - Sending' reported error
(0x8004210B) : 'The operation timed out waiting for a response from the
sending (SMTP) server. If you continue to receive this message, contact
your server administrator or Internet service provider (ISP).'". And
then there are occasions where I am being told that the syntax of the
recipient's email address is not correct.

I checked already with my hosting company (I use their POP/SMTP server
in my Outlook settings), but everything is ok from their side/my
settings for the relevant email account. I noticed that Outlook
encloses the recipient's email address with single quotation marks. My
hosting company reckons this is the problem, because in the return path
of one email, which bounced back the single quotation mark is the
problem. It says "Hi. This is the qmail-send program at mx1.4eins.net.
I'm afraid I wasn't able to deliver your message to the following
addresses. This is a permanent error; I've given up. Sorry it didn't
work out. <'(e-mail address removed)'>: Sorry, I couldn't find any host named
4eins.de'. (#5.1.2) [...]". How can I stop this?

Any help appreciated.

Which version of Microsoft Outlook are you using? Is it 2002?

Install the latest service Pack for XP. Also, make sure that XP SP-2 i
installed before installing the latest version, but if you go to you
updates, your updates should automatically detect what you need.

In addition to that, make sure that your configurations with the SMT
server are enabled on the server your connected to. Do you use webmai
with Outlook? Or, is this a work PC? Another words, where is your emai
hosted? Locally or on a different server? Check with your administrato
to ensure your local settings are correct. If this is your home PC the
you will want to speak with your Internet Service Provider to make sur
that nothing has changed on their end

I have Windows Vista Home Edition (work from home) and have Office 200
installed. I use Sky broadband, but their SMTP server does not work a
all with my Outlook (it worked with XP home/Office 2003), so I use th
SMTP server of the hosting company where I have my domain name/emai
address hosted.

I checked already with the hosting company all my settings and they ar
correct. He reckons there is a problem as Outlook adds single quotatio
marks around the recipient'e email addresses (Outlook does this withou
me entering it this way). I do not have a clue how to change this...

Also, it does not make sense that certain email addresses (ones, whic
have their email also with the same hosting company) cannot be sent a
all, where other go out (althouth the following error message come ver
often few times before sth gets sent out: "Task 'info - Sending

As the main problems are with email addresses of my clients I really d

This is a known problem that can be caused by a multitude of things
First things first so we start with the basics. Do you have any type o
antivirus software on your system. i.e. norton, panda, mcafee
pc-cillin?

Try deleting your .pst file and recreating it. It could be a bad .ps
file. If not, delete OE entirely and reinstall. Also, make sure you hav
the latest updates for OE and your OS.

then go into regedit and check the MTU.

Check your firewall settings, what kind of external hardware you ar
using; reinstall outlook; did you ask your isp if the emails are hittin
their server at all, or if they are just looping back to your inbox

office xp sp 3 has supposedly correct this issue. i'm sure you have al
of the latest and greatest updates on your system.

Microsoft suggests this method

1.Quit Outlook.2.Click *Start*, and then click *Run*.3.In the *Open
box, type regedit, and then click *OK*.4.Locate, and then click t
select the following registry key
*HKEY_CURRENT_USER\Software\Microsoft\Office\Outlook
5.After you select the key that is specified in step 4, point to *New
on the *Edit* menu, and then click *DWORD*.6.Type UseInetcommCS, an
then press ENTER.7.Right-click *UseInetcommCS*, and then clic
*Modify*.8.In the *Value data* box, type 1, and then click *OK*.9.On th
*File* menu, click *Exit* to quit Registry Editor

Microsoft has also confirmed that this is a known problem with thei
exchange server.

Also try

1.Quit Outlook. 2.Click *Start*, point to *Settings*, and then clic
*Control Panel*. 3.Double-click *Mail*, and then click *E-mai
Accounts*.4.Click the e-mail account name, and then clic
*Remove*.5.Re-create the e-mail account

The problem is that the error is caused from the proxy inside of th
product itself. So make sure that in OE your settings have not change
to "localhost" under tools and options

also, try setting the MTU to 1492. Make sure that incoming mail is se
to port 110 and outgoing mail is set to port 25.

Here's another possible fix

disable all the features in NIS and then enable all th
features in NIS

I also had a similar issue beginning about July 26 with Outlook 2003
NAV 2006 on XPP SP2

In Norton AntiVirus I had the Office Plug-In disabled

Toggling this on and off seems to fix the problem
Also, talk with your modem/router manufacturer to make sure it wil
support the email transmission. They may have an update you don'
already know about. Just a suggestion? Let me know if any of thi
works..

I am using McAffee and have also lots of trouble with this side of
things. Too many emails go in spam folder (they are even marked twice
in subject line: [spam][spam]). Kind of difficult to figure out what is
coming form McAffee and what from Office. Have not looked into this too
much, but wondered why you need antivirus software when Office does
already the job for you?

Concerning you advice, could you explain what OE, MTU and NIS stand
for?

The ports are 110 and 25...

McAfee has been known to cause problems with the SMTP. It's a know
issue just as Norton is

Regarding your questions, MTU stands for Maximum Transmission Unit
It's measured by bytes and it's the largest packet size that a networ
can send, but it divides those packets into smaller units before i
sends it out. Otherwise, the transmission or packet is too large for th
network and may bounceback before it is sent out

At any rate, if you still have trouble sending or receiving email onc
changing the MTU, try decreasing the transmission to 1482, hit apply an
reboot, and let me know if that works. However, one little note here
You may want to also talk to your ISP and make sure that th
transmission speed you are setting it to works on their end so that hav
you flawless transmission without interruption.

When I talk about OE, I'm referring to Outlook Express. I tend to use
lot of acronyms when typing. Just a habit I've gotten myself into

Concerning acronyms, IE stands for Internet Explorer, NIS stands fo
Network Information System. With NIS when it is being used on
client/server network, each Server receives information from othe
clients on that network or LAN. It's basically communication between th
clients and the server on that network. The clients have access to th
servers resources and the server hosts all of the applications.

Btw. NIS also stands for Norton Internet Security, when you are dealing
with Norton. But as you've stated, you have McAfee.

Ummm... one more question. Have you checked your system for viruse
using System Mechanic 6 or a different operating system other tha
McAfee? I used to use McAfee all the time, but as a backup I starte
using System Mechanic because somtimes McAfee didn't update their viru
definitions or would not find other parasites that System Mechanic did.

Here's something I found about viruses, which is why I've asked

Many outlook users are getting emails from what appears to be the U
government. These emails are marked with the spam tag.

So, my question is, if these emails are spam and NOT emails you need
then delete them and do a scan on your system using System Mechanic. Yo
can purchase System Mechanic 7 online, and probably in stores too

I am really sorry it took me so long to get back to my own post. Just
today returned to my desk (with so much to do...). This illness was
really bad...

Did your check as far as I could:
- I use on laptop and PC McAffee. On laptop (Windows XP/Office 2003)
emails go out ok
-Where would I check the MTU (what is regedit?)?
- Windows firewall is disabled and McAffee firewall grants full access
to Outlook
- The method Microsoft suggested I did not really understand, so I
refrained from doing it for now. Could you explain a bit more?
- Updates are not available for Office 2007 on MS website. Windows
Vista is up to date
- Ports are set correctly to 25 and 110
- Also did virus scan with Bit-Defender, which could not find any
infections
- Would not think it has sth to do with router as it works from laptop,
which uses same broadband connection/router

In addition I deinstalled Office 2007 and installed 2003, which did not
work. Trying to open Outlook it said that the Outlook.pst file is not
compatible with this version. I tried to find this file and replace it
with the one I created before I deinstalled Office, but could not even
find it when I searched the whole system for "Outlook.pst" (mine has
different name, stored in my documents). After that I deinstalled
Office 2003 again and reinstalled Office 2007. Strangely it had
immediately all my emails again. Why is that? I thought it was a new
installation? Anyhow, I also tried with a different SMTP server of my
hosting company. But there is also says "Send test e-mail message: The
operation timed out waiting for a response from the sending (SMTP)
server. If you continue to receive this message, contact your server
administrator or Internet service provider (ISP)."

Any ideas?

Just a funny thing I noticed: When I check for malware protection in the
Windows security center it shows for antivirus Bit-Defender, McAffee and
Norton Internet Security with a mark that NIS is out of date. My pc is
completely new and I never installed Norton on it (did have it once on
my laptop). In the spyware section it shows again up next to McAffee
and Windows Defender.

Also, do I need the Windows protection (and Bit-Defender) at all?
Thinking that so many emails land in spam folder with twice [spam]
attached to it. Could this have sth to do with the so many antivirus
programs?
