problem with sort/filter settings being retained in word 2002

We just upgraded from word97 to word 2002. I received the
support call issue and have been unable to find out if
this has changed or why the qualifiers are not retained.

"I am in the process of moving work from NT to XP. On the
NT side I was able to set up mail merge templates and use
the mail merge helper to enter qualifiers for the
letters. When I do this same thing on the XP side, I can
enter the qualifiers and merge the letters. Everything
works fine. Then if I go back into the mail merge
template, I have lost the qualifiers. It's as if it only
works the one time."

When I called her to clarify "qualifiers" she indicated it
was the filters and sorting settings she was losing.

Any ideas would be appreciated.

Hi Ellen,

It would help to know

- the type of data source
- whether the user is using the default connection to the
data source, or selecting one specifically
- whether the data source is stored in a network location
- if the filters are being set ONLY in the Recipients dialog
box, or whether Query Options (the dialog box used in Word
97) are being used

It would also be important to know which Service Packs for
Office XP have been installed.

I checked with the person who is having the problem and
this is what she sent back to me:

"I was selecting my data source which was a table. I
started by selecting the records through the recepient's
list and that didn't work. Then I decided to go through
the mail merge helper like we had on Word 97. When I
would change the query options in mail merge helper, it
would work for my test. After closing and saving the mail
merge document and then going back into it, the qualifiers
would be gone"

We are currently at SP2 for OfficeXP. We are in the
process of testing the SP3 in our test lab with the
corporate baseload to verify there are no issues. We plan
to rollout this out via SMS in the next 4 - 8 weeks.

other) table?

Thanks for your persistence in trying to help. I had to
contact her again and explain a few things so I could get
the answers you still need.

Type of data source is an access table.
Type of connection: She doesn't know so assuming the
default.
Where the data source is located: It is on a network
server along with the mail merge main document.

Hopefully this gives you the information you need. I was
in a Microsoft class for three days this week so I hadn't
had a chance to get this information sooner.

Hi Ellen

I'm guessing what we may be dealing with here is a problem
with permissions, since the database is on a network. See if
this helps at all:

"this issue may occur if the following registry entries and
their sub-entries were not set to Every-Full Control
permission.
HKEY_CLASSES_ROOT\Access.Application
HKEY_CLASSES_ROOT\Access.Application.10"

And also, ask her to activate "Confirm conversions on open"
in Tools/Options/General, to select the database again, and
this time specifically choose DDE (or ODBC, if DDE doesn't
work) to make the connection, by passing the default OLE DB.

Cindy,

Turning on the Confirm conversions on open and selecting
the database connection type (she used DDE) resolved the
issue for her.
