Project 2007 Organizer problem

Tito

Hello,

I'm having trouble updating the Organizer in Project 2007 (it's been a while
since we updated the Organizer). We recently updated our template for 2007
and went through the same "copy" procedure for updating all of the Organizer
elements. Everything looks good i.e., all of the right fields show up on the
left side of the dialog box (Organizer) but whenever I open a new project
file all of those fields are missing from the Project itself. I guess I
could open every file we're using (easily over a hundred) and copy the
organizer elements to the Project however I don't remember ever having to do
this in the past. Is there a better way to udpate the Organizer that I'm not
remembering?

Tito,
It's not the Organizer that gets updated, it should by your Global file.
The Organizer is simply the tool that is used for updating, but the
Organizer is not an entity in itself.

It sounds like you did not have the Global file selected when you
updated everything. When you want to update your Global, make sure it is
the file shown in the "[organizer element] available in" selection box
in the lower left corner of the Organizer window. The file you are
copying the customized elements from will be shown in the lower right
corner selection box.

Once your custom elements are in your Global, they will be available to
any file that you open, unless that file has further customized an
element. In that case the file customization takes precedence.

Hope this helps.

John,

Thank you for the quick reply. Here's what I'm doing and still not getting
the desired result.

1. Open Global Template
2. Tools/Organizer to open the Organizer dialog box
3. Changing the dropdown menu so the Global Template file fields are listed
on the left side and "Global.MPT" is listed on the right side.
4. Selecting everything on the left side (Template) and using the "copy"
button to copy those elements to the Global.MPT side.
5. Repeat for all tabs (Views, filters, etc..)
6. Save changes
7. Open a new Project file and apply a custom view...one of the fields
should contain drop down values and it doesn't.

Where did I lose the recipe?

Tito,
Well you're not really doing anything (i.e. you probably never had the
recipe). By having the Global on both "sides" of the Organizer you end
up transferring the existing Global to the existing Global.

When you "open" the Global.mpt all you are doing is opening an instance
of Project. That's no different than starting Project from an alias or
from the application folder.

Here is what you should be doing. If you have customized views, tables,
etc. in a particular project file or even in several files, you need to
open each of those files one at a time and then use the Organizer to
transfer the customized elements in each of those files to your Global.
Once all your customized elements are in the Global, you can delete them
from each individual file, or leave them, it doesn't really matter.

John,

Maybe I didn't explain myself correctly but I was wondering why whenever I
create a new file or open an existing file I still need to copy over all of
the fields, views, etc. from "available in Global.MPT" to whatever the
current Project filename is. For some reason a few of the customized data
elements like 'fields' are available in the new projects but the lookup
values didn't come over. I still find myself opening individual files and
copying everything from the "global.mpt" side to the "project" side.

Tito,
If your customized fields, views, etc. already exist in your Global,
then you do not need to copy them over to each file that you open.
That's the whole point of having them in your Global.

However, the values in custom value lists (i.e. lookup values) are NOT
stored in the Global. Those will need to be added to each file, or, a
better way to capture custom value lists is to create a template file.

Hope this helps.
